Cleaning up constituency codes

I was wondering if anyone has ever run into this. I have just started as Donor Relations Coordinator at a regional hospital, and found that many of our queries were run poorly because we lacked standardized constituency codes. The strange thing is, as I'm trying to create new codes, but mostly delete old codes that were never used, Raiser's Edge does not allow me to delete these codes from the Config Table. Even after I've run a query for the code and ensured that it is not assigned to any constituent records, Raiser's Edge gives me the message "This table entry cannot be deleted because it is in use by one ore more records in the program." Anybody run into this, or have any advice?

Constituent Codes in a batch

I have set up a batch template to input pledges from an annual event at our organization. The problem I am having is that I have to manually add the constituent code and it is very time consuming. We have had a student go through all the pledge forms and add the constituent numbers for all the pledges (which number in the thousands) and I have pre-populated most of the batch report. Essentially I can now whip through the data entry with the exception of this one field. I did an import to add all the new constituents, and I made the constituent code part of that import so, for NEW constituents, I don't have to add the code, just for the thousands of constituents who are already in the database. Any suggestions, or thoughts as to why I can't pre-populate the constituent code field?

Yes, we just started using those and I realized it has effects on our lists in our Annual Report. If you have a data from and date to can you still apply gifts to that constituent code or do you always have to have an open const code?

Primary Constituent Codes

Regarding the hierarchy order of primary constituent codes between alumni and current parent, which one is primary? In general, do you have a primary order that you follow?

How do you denote a current parent from past parent in RE? I have entertained the idea of creating an additional constituent code, we currently only have one called "Parent". Should I create a second or use attributes?

Student who does not graduate

If a student in does NOT graduate or withdraws, what do you do with their constituent code? Leave the student const code or change to another, ie: Non-Grad Alumn?

Rose, Something is wrong somewhere in your query criteria. There are several options for drawing out the constituency/constituent code. Are you perhaps selecting "primary constituency information?" If the constituency is not the first one listed, the record will not pull and you may end up with zero results or very different results than expected. Instead chose "constituency" (7th down list) and select your description from the drop down here.

In your query, double check where you are selecting "constituency" - it's an option under spouse, business info etc. If your window's not maximized sometimes one can miss that you are selecting from 'sub' lists.
