When you copy and share an address between records, phone numbers in the Phones/Email/Links grid are also shared. This means you can change the phone number on one record and it will be updated on all the constituents that share it. While a website or home phone number are likely to be shared by everyone who has the address, email addresses and cell phone numbers are more likely to be unique to each constituent. You can choose to share or not share phone numbers on a case-by-case basis.

By default, all phone types are shareable. To make a phone type shareable or not shareable, go to Config, Tables, highlight Phone types in the left frame, and double-click the specific phone type in the right frame. To allow the phone type to be shared, unmark the Do not share phones of this type box. To prevent the phone type from being shared on any record, mark the Do not share phones of this type box and click OK.

To share a phone number between records, you must use a shared address. For each phone number, select one of the following options:

Not Shared: Indicates the phone number is not currently shared, but has the ability to be shared if the appropriate options are selected.

Shared: Select this option if you do want to share phone numbers. If a phone number of this type is already on the other constituent's record, a prompt appears to overwrite the existing phone number of that type on other records. To accept the changes and update the numbers to share, click Yes. To maintain the numbers already on the records and not share them, click No or Cancel. To see which addresses are shared, click Show Addresses. If the phone type is not on the other record, the phone type and phone number are added to all records that share the address.

Do Not Share: Select this option if you do not want to share a specific phone number.

Cannot Be Shared: When the phone type is marked as Do not share phones of these types in Configuration, The Raiser's Edge automatically selects Cannot Be Shared as the phone type for the phone number and you are unable to manually change it. If you need to share this phone type, make it shareable in Configuration. This will change these phone numbers from Cannot Be Shared to Not Sharedand you can then manually change those phone numbers to Shared.

You can also find this information in Knowledgebase solution BB192490.

Address Updates

Some questions have recently come up in our organization about when it is appropriate to update and address on a records in the database. Such as ... should identification be required to change the address? Can we change an address on a record simply as a result of returned mail and a NCOA sticker? I guess the question is what make a change valid? The questions are a result of a new policy to prevent identity theft but has left me asking questions about when it's ok to change an address. Likewise ... do you require a death certificate to mark a constituent as deceased?

Can all of you Raiser's Edge gurus ... DBA's out there let me know what your policies are on changing address information in your database? Much appreciated!!

I got caught completely off guard with the new USPS regulations on all bulk and pre-sort mailings. In case you don't know, before you can send out a bulk or pre-sort mailing, your mailing must be ran through a NCOA check. We use a mailing service that prepares our major mailings for us. They run the NCOA check and give us back the updated addresses on hard copies.

I am curious what "methods" are you using for tracking when a particular address has been ran through NCOA (if any). From what I understand, addresses must be checked every 95 days. We do frequent mailings and our lists change constantly.

Maybe I am overthinking it, and should just run the NCOA each and every time I do a mailing.

Thanks for your input.

Among the Care Bears, it is Share Bear who promotes the virtues of sharing. In The Raiser's Edge, you can embrace the concept of sharing by sharing addresses between constituent and relationship records.

Address sharing simplifies data entry by letting you make a change on one record that will be reflected on all records who share the address. For example, Buffy, Dawn, and Joyce Summers are all constituents in the Sunnydale High School database and have a shared address. One day, Giles notices that their address is listed as 163 Réville Road instead of 1630 Revello Drive. Because their addresses are shared, Giles only needs to open one record, make the change, and save it to update all three records.

Two records may have the same address, but that doesn't mean they are shared. As another example, Nick and Nora Charles have the same address, but it isn't shared. That means a change to Nick's address won't be reflected on Nora's record and vice-versa. To share their home address, you would open Nora's record, select the Addresses tab, open the home address, select Address, Copy/Share Address from Constituent... from the menu bar, and browse for Nick's record in the search screen. In the window that lists Nick's addresses, mark the Add? checkbox on the home address, then mark the Share this address checkbox to link the address, click OK, then save the address and the constituent record.

Now any changes that are made to Nick's address will be reflected on Nora's record and vice-versa. This information is also in Knowledgebase solution BB27964.
