When I try to export Parent - Student Information to Excel (names of both, class years, address, phone and emails) I get a lot of duplicates. I already clicked "suprress duplicates" in the query. That did not seem to help at all. The reason it does not work is that one line will have all the exact info, except it will not list the home phone number and the other will. I think it has something to do with the home phone number and the "helpful hint" said to filter on the phone number. How do you do that if the phone number is only the output, not in the criteria?? I can dump everything in Excel and then spend hours, and (worse) introduce error by "cleaning it up". I tried limiting the output by only listing names and home phone numbers.---Same result.
Any ideas ??
Hi Joni,
I'm not sure if you're using Raiser's Edge? But in RE exporting directly from a query is rarely the best way to go. As you mentioned, if you are using a field in your query (criteria or output) which has multiple options (such as phone number) you will get "duplicate" lines of output. This is because the query lists every time that option shows on your constituent account. So if an account has both a phone number and an email, the constituent ID will show up twice on the output of your query.
I would recommend setting up an constituent export (in Export) with the fields you need, link it to your query, and you should be good to go.
If you're not using RE, I imagine the other programs (Admissions Office etc) are set up in a similar manner. You can probably find a User Guide or Knowledgebase answer to help walk you through setting up an export.
Hope that helps.
Sheryl
If you're trying to export via Query it doesn't work well. Try exporting via the Export module.
I am going to guess that you are using Education Edge. Are you working with the Directory Reporting tool? I would be happy to troubleshoot with you.
