Managing Publication Name in RE

    Managing Publication Name in RE

    We recently converted from GMP to RE and I have a couple questions that I'll put in different posts.

    The first pertains to Pub Name. We used it in GMP, where it was a dedicated field that automatically populated when a new record was created and could be edited as needed. That field imported into RE as an Addressee/Salutation, and is no longer created automatically. We need to decide on our policy going forward about tracking PubNames. My instinct is that we should continue to create an Addressess/Salutation called Publication Name with each record (or each donation?) to maintain the default RE configuration. Just wondering if anyone out there has any suggestions on what has worked for you regarding PubName in RE?

    We created an Additional Addressee/Salutation specifically for Publication Name.  However we only use it for donors who are the exception to the rule. 

    The rule for us is that all donors who have spouses will be recognized as a couple (ie. John and Mary Smith), if they don't have a spouse then it will be their individual name (ie. John Smith).  For donors who request something different, this is where we would use the Publication Name addressee.

    I've set up addressee defaults for the data entry staff so all new records that get created will automatically get any addressee/salutation that we want them to get.

    If you want all records to get the Publication Name addressee, my suggestion would be to create an addressee default and all you need to do is load the default.  In case you don't know what loading of defaults means, RE has a feature where you can set up defaults for certain fields and then it will load them for you.

    We use an Additional Addressee/Salutation called "Publication Listing."  The only problem here is that it does not work for organizational donors (corporations, foundations, etc.)  For them, we use a Constituent Notepad Type called "Publication Listing."  Kind of annoying, but oh well.

    Carlos - thank you, this is a big help!

    I found the KB solution that talks about how to create default values and did a test run. I'm wondering if you have a set of default values for single constituents (Jon Doe) and one for couples (Jon Doe and Jane Smith), or is there a way to create conditional defaults that will choose depending on the data? Oh, and I didn't understand the explanation of how I get them to automatically apply to all new records. Is that a setting somewhere that I should be able to find? (Their instructions mentioned hitting shift + F2 but I didn't understand when, exactly).
