New administrator here! We had records imported from another database that only brought over the phone number and email. The records were then imported again with the address fields. Now I have 3,000+ records that have the phone and email on a blank alternate address, and the mailing address on the preferred address. I'm looking for a way to combine the info from the alternate address and the preferred address on this group of records. I have been looking at creating an import file but can't figure out how to get it to pull the address and the phone number at the same time. Exports haven't worked for me either. Anyone have any ideas, or do I have a lot of manual data entry coming my way?
Janet - Are you saying you have duplicate constituent records; one with phones only in the address & another with mailing address? Or are both these addresses within the same record? If the latter, then unfortunately there isn't a merge address function in RE. But I don't see any reason why you can't export the phone info & then import that into the existing address record containing the mailing address using the Address Import ID. We import address & phone fields at the same time. What fields are you importing? Importing can be complex if you've never done it before. You'll want to take a look at the Import User Guide & practice in the sample database before attempting with your live data.
The 2 addresses lines are within the same record, so it looks like I'm doing it manually. It hasn't been too painful so far - just copying and pasting the phone and email then deleting the extra record. I'm recruiting others to help. Thanks!
Hi Janet,
It sounds like you have lots of work to do, but it really would be a lot easier to create an export and re-import the numbers onto the preferred address. To do this you can either create an import file or a query based on one of the records that needs cleaning. You need to address ID, which is unique to every address record and so you can use this to import the new data onto that address. If you are not sure how to do it, I would call Blackbaud and get them to talk you through it...after all we are paying for it!
Hope that helps and good luck!
