Suggestions for VIP recognition

    Suggestions for VIP recognition

    Last night we had a fundraising event; it was the 2nd annual, so we are still tweaking it.  It's a dinner that started at 6:15, with a reception starting at 5:30 that all dinner attendees were invited to.  Then for those that were VIPs (i.e. award winners, sponsors and such) we had a pre-reception that started at 5:00.  Last year as well as this year, we had people arrive early for the dinner, and then went to the VIP reception even though they weren't invited.  This year we had different name tags, but still people went in that shouldn't (granted we had no one at the door turning them away, but then again, how do we say, “You weren't invited?”)   Any thoughts on what to do next year?  Do any of you have a pre-reception for your VIP's?  If so, what works for you?  If not, do you do anything special for your sponsors (we did have a sign listing their names). Any suggestions would be appreciated.

    Was the VIP reception in the same location as the 5:30 reception?  I highly recommend that the VIP reception be in a different room than the other reception.  I think you have to have some place for the people (who inevitably arrive early) to go before 5:30 other than your VIP reception room.  If you simply describe it to the non-VIPs as "another event" and tell them that for their event they should use this door it should cut down on the problem.  If you did this and still got room switchers (like kids who buy PG movie tickets then switch to the R movie) I'm not sure what to suggest.

    yes, it was in the same location, but a different room.

    We have a award ceremony prior to our charity ball (always in a separate room).  When we send out the invitations to our guests, we put in a separate invitation to the award ceremony which states "by invitation only" and asks for an RSVP.  We invite the awardee's families, friends, and colleagues, Trustees and only are very top sponsors.  We have been doing this for the last 4 years, and it seems to work.
