    Comparative Report

    I have been asked to create a report based on the following criteria: Campaign = COF Date Range = Last FY to Current FY Fund = Mercer, Middlesex, Somerset, Hunterdon, Warren Output: Amt given by donor for FY07 & FY08 Amt given by donor to specific fund for FY07 & FY08 Is there a canned report that can provide me with this information? Any help would be greatly appreciated! Thanks :)

    Please refrain from posting the same question in multiple forums. I've now seen this exact same question five times. Pick the forum that is most relevant to your question and post it once there. This forum isn't even relevant to your question, because it's for custom Crystal Reports and you're asking about canned reports. If you find that there is no canned report that meets your needs, then you may want to post here to get information about creating your own custom report. Drew J.     Drew, I apologize for the redundancy... I was merely attempting to obtain assistance. I thought this might be a custom report, but was not certain. It was my hope that someone could suggest a canned report that would be able to provide me with the information I was asked to gather. However, your response has strongly deterred me from placing another post period. I thought these forums were to HELP users obtain information when they didn't know where to find them and I am not the only forum user who posts to various forums (since there are several) to obtain HELP.     Michelle, I understand your need for help and understand repeating posting when time has elapsed and no response came in but all of your postings appear to have been made at one time. Most users of the forum have email motification on so each posting you make fills up email boxes and it is forum ettiquitte here to be conscious of that. We all need to help each other but being conscious of each others time posting only once is most helpful to all. We got your first posting immediately - if someone had an answer they would have posted as soon as time allowed. Because your email specifically asked for a canned report posting in the crystal reports forum was inappropriate. You would have had to change your email to ask specifically about crystal to be there appropriately. I feel it is unfortunate that Laurel felt the need to take the question off-line because if she had an answer for you it would be best to post it to the group so others can learn and the answer stays in the archives. Maybe we did not post because we did not know the answer and now with the discussion now off-line we may never know. That is not very helpful to other users which dispite what you seem to feel - is our goal. In fact, if you ever do need help with a Crystal report Drew is probably the best expert we have on the topic (even teaching a workshop at the last Blackbaud conference) so if you need Crystal help in the future he is a fantastic man and will surely give it to you.     Sorry for not posting for all to see. I am a big lover of the screen shot and unfortunately those don't post here yet. The Gist of what I answered with big spaces for screen shots. I really need more info about what she really needs and how the data needs to be used. (Wanted by donor & by fund and in Crystal you can only do one per report - if you go to excel you can resort by any column - though I hate to say excel should be used as a reporting tool) You have a couple of ways you can go with the question as phrased. If you want one report – you’ll need to use a query and an export, if you are willing to do one report per fiscal year, you could use a canned report (Gift Detail & Summary). Financial Reports Gift Detail & Summary Report Date has a drop down that you can select your date range – if you want to see from FY07 to the present use greater than or equal to if you want to do each year separately – you will run two reports. Filters is where you will choose your Campaign and Funds to include Gift Types is where you will choose the breakdown of your types of money to be counted. I personally put Cash in Column 1, All pledge payments in 2, Pledges in 3 (Make sure you do not check Use gift balance instead of gift amount), ‘New revenue in column 4 – for me it’s everything in Cash, Pledges and I add in our Gifts in Kind and ‘Other’ planned gifts) If you wanted the information without donor name detail – you could do this via a Demographic and statistical report. Comaprison & summary. Amt given by donor for FY07 & FY08 Amt given by donor to specific fund for FY07 & FY08 For one report: Create a Query (Constituent) Criteria : Gifts Gift date between X& Y Gift Fund is one of Campaign is one of Sort by Sort Key ascending if you want to run in donor alpha order (There are no sort options in export) Then go to Export Create a new constituent Export Output Biological/ Name Summary information Create a summary using total gift amount for each column of info you want: Example for first one: Use appropriate date range for FY07 go to filters and choose all the funds and campaign go to gift types and choose the appropriate gift types. (I leave pledge payments out because we work off of revenue – accrual accounting) NOTE: If you write down what each output is as you go FY07, FY08, Fund 1 07, Fund 1 08, etc….it will make it easier for you to type in your headers after you export it to excel. (You could also do this as a mdb export and create a crystal report – but if you export it to excel – your sorting options are more open) The export will say something like total_amount_1, Total_amoutn_2 in the header field so it will help to have those written down… Hope this helps!     These forums ARE here to help people obtain information. Posting in multiple forums actually hinders this process rather than helps it. First off, it annoys the many people who are signed up for email alerts and these are the people most likely to have the answers that you're seeking. Secondly, it becomes very difficult to follow the thread if people reply in different forums. This is particularly troublesome when the advice in different forums conflict with each other. Thirdly, it shows a lack of initiative on your part. If you don't put in the effort to think about where the thread belongs, you're giving the impression that you want to be spoon-fed the information, rather than just being pointed in the right direction. I don't have the time and energy for that. Probably the best way to think of this is "The Boy Who Cried Wolf". If you abuse people's good will, they won't help you out when you really need it.     I posted to all forums that pertained to queries and reports because my thoughts were that maybe the one person who could assist may look in one and not the other... It is not due to a lack of initiative on my part or thinking where the post goes. I did think about it which is why it is in reports. If you read my post I ask if there is a canned report (if not, it would be a custom report) so it was posted to both standard and crystal reports. This also relates to querying. I have received mutliple emails myself from individuals for identical posts (different forums) and I tend to look at it differently than you. I realize that the individual is merely seeking advice/help/information and the individual is posting to several forum for that reason only... not to be bothersome. Regardless, we could go back and forth on this as we both have different opinions and thoughts on this. I did not post to the forums to begin a debate.... I posted to the forums seeking advise. So on that note, I apologize for having upset you with the email alerts you've received.

    I've been using various forums since the mid-80s. Netiquette was developed for Usenet, but it applies just as well here. Here is a quote from the Wikipedia article ( http://en.wikipedia.org/wiki/Netiquette  ) on Netiquette [indent]The points most strongly emphasized about USENET netiquette often include avoiding cross-posting...[/indent] People are afraid that they'll post to the wrong forum or that the person who can answer their question doesn't read the forum they do post to. There is no reason to fear either of these. People are much more forgiving of people who post to the wrong forum than people who spam all of the even remotely relevant forums. They'll quickly point them to the right forum. This goes back to what I said earlier: people who post to only one forum have thought about their problem enough to narrow down their focus. Even if they're wrong, it shows initiative. If you spam every single forum, you haven't thought about your problem; you're just posting everywhere hoping that something will stick. As much as you might protest, you're not showing initiative. You also don't need to worry about the right person missing your post. If people are interested in a forum and in responding to posts, they usually have email subscriptions to those forums so that new posts arrive automatically. As long as your questions lands in the correct forum eventually, these people will see the post. Also, this fear assumes that there is only one person who could answer your question. Usually there are a number of people who can answer your question. It's very unlikely that every single one of them will miss your post. Even in the rare instances where there is just one person, others usually know who that person is, so they can usually tell you that you need to talk to so-and-so for this particular question. I know who I would go to for VBA/API questions and who I would go to if I had questions about customizing BBNC (which we don't use). Drew J.     It is inaccurate to say you were posting to different forums. We need to remember that this is all one forum - when we cross post we are not posting to differnt forums but to one forum under different subjects. We are all trying to be helpful to each other here and if you have been a longtime member here you will see that these types of ettiquite postings come up from time to time when newer users make these kinds of errors and most often the poster learns from the users who teach about the appropriate way to use the forum for all of our benefits. I am sure you got some emails from other users who maybe felt it was unnecessary to post a reminder about cross posting but if we let each one of us continue to break ettiquite protocol - the forum would be a mess. I am sorry that you feel like it was personal but I do not believe that it started out that way if you read Drew's original posting. In fact, had Drew not posted his message to you I would have been next and there are other users who would have come forward with a reminder about cross-posting if it were not one of us. You may be new to these types of forums but as you can see from Drew's most recent posting we didn't make up the rules - we just follow them and ask others to do the same. Melissa S.
