    Hi, Please bear with me. I've cross posted some of this to the RE forum as well. If you get both, sorry for the duplicate. We have an annual phonathon and many times people will commit to a pledge without a $$$ amount. These pledges are entered into RE through Batch as pledges for $1. This is so we can do reminders and track where the original solicitation came from using RE instead of paper files all over the place. When the gift comes in, the person entering the gift changes the pledge amount to the amount given and the Donor Acknolwedgement letters are run and everything is ok. We get the correct donated $$$ and the fund. Life is good. We are now in the process of implementing the General Ledger piece of FE. These pledges will now post to the GL. We can't figure out how to make our current practice work. We believe we can't change the original pledge amount on the RE side like we have been as it won't reconcile with the GL. We don't want to record a $1 pledge payment and a "regular" cash gift of the rest; we want the whole $$$ to go against the pledge. And recording 2 gifts in RE will cause havoc with our thank you letters. I am not an accountant so I could be missing something but my gift entry person is concerned as well so I think we have a problem. Does any one else do something like this? Any solutions? Our current practices are not etched in stone but we would prefer to record one gift in RE and have all the money go against the pledge and reconcile with the GL. Like everyone else we are trying to track which appeals/contact methods/solicitations bring the best results so having pledges only show bringing in $1 per person who gives when in reality it is more isn't a good thing.     What about giving the $1 gift a "do not post status" and then when the money comes in, change to the correct amount and post it to the GL.

    We thought about that but the powers that be really want to see the pledges and paid pledges in the GL. We got an answer from the RE forum to adjust the gifts when we receive the $$$. The adjustments will post correctly with all the ins and outs of debiting and crediting to the GL. And we will end up with one gift in the long run and can run our thank you letters the way we want to. Still not sure how we missed gift adjustments in RE; we've been on it for 7 years. But I know nothing about accounting methods and the accountant is not a database guru so she wouldn't think to look for something like that.
