    Metrics

    At our organization, we're moving towards establishing metrics for and basing reviews, annual goals, etc on those metrics. I'm trying to determine things we can measure around Gift Processing/Receipting, data management, list pulls, report preparation, etc. Do any of you have specific metrics you are measured on?     We don't have specific numeric goals, but we do have turnaround goals for entering cash receipts into Raiser's Edge (1-3 days, 3 being very busy time frames or staff outages), turnaround from posting gift to getting acknowledgement letter into mail, etc. We have a journal tracking spreadsheet out on our fileserver. Each day's cash receipts are logged into the spreadsheets. There are columns for the cash receipts people to fill in (date completed, journal number, number of transactions and number of tributes). Our acknowledgement person fills in the date of completion for the letters of that batch. Our accountants fill in the dates of when they match up deposit slips to their copy of the posted journal and when the entry is finalized in Financial Edge. Management can then use the spreadsheet to make sure we are not behind, reward people who are staying under turnaround goals, track the number of transactions and tributes we are handling monthly, etc. We do similar spreadsheets for monthly operations tasks (including reports) and data base maintenance tasks. Again, these goals are set more on timeliness rather than numerical quantity.

    Sue, Our office is now in the process of developing performance metrics for gift management and operation tasks. Is there anyway you would provide a sample of the spreadsheet where all of the metrics are tracked. Thank you,

    The main gift entry related metrics we track are: Turnaround time on entering gifts (we use a lockbox and scanning service which gives us an exact time when the gifts are available for entry and then use RODBA queries against RE to track it to the second) Turnaround time for mailing tax receipts (all data in RE) Ontime percentage for fulfilling Mailing List requests (using SysAid, a held desk program) Ontime percentage for fulfilling Report requests (also using SysAid) Mitch Mitch Gibbs Vice President, Advancement Services Advocate Charitable Foundation
