    Payroll Earnings Corrections

    Can anyone help me find a solution to adjusting earnings records since Blackbaud does not allow processing negative adjustments. I disagree with this procedures since I feel that not being allowed to correct thru negative adjustments does not leave a good audit trail and feel that I am not adjusting records correctly. For Example: An employee is paid 8 hours regular when it should have been PTO. I would normally correct it by applying (8.00) hours regular and then 8.00 hours of PTO which would technically be the proper process to keep earnings correct and accurate.     I thought about this and I am really not sure how to adjust it. The only way I could come up with is if the next time you pay the employee you take 8 hours from their regular hours and put those in PTO. This would make the adjustments right for the year but not for the actual time of the pay period. I hope this is helpful.

    The real problem is that a non-taxable earnings was keyed as taxable so the employee has over-paid their ss and fed wh. This needs to be corrected to a non-taxable earnings. Putting in $1,500 in a non-taxable earnings code is easy but how do we reverse the $1,500 of taxable wages?

    We use the same method as Robi when possible. If it happens to be an attendance payment such as sick or annual leave, we adjust the employee record in the attendance tab. Then we need to do a journal entry to get it into the GL correctly. The attendance will accept negative values. I wonder if you can adjust it in the activity tab of the employee record. I know you can make some adjustment there that are negative. I have used it to correct withholdings. You go Employee\Add Historical Entry. Just fill in the blocks you find there. You still may have to do a journal entry. I am not sure.

    Oh no I was afraid that it was going to be one of these.We had the same problem and we needed to do an other pay with as negitive and tell it to with hold negitvie amounts for the ss and fed withholding. And do a positive pay to cancell out the negitvie pay.It was a real pain and took for ever to get to it right.I finally called support and had them walk me through it because I could not get it done right. those directions they send or complicated if you ask me.

    can't void the check and delete the incorrect computation, then enter the correct computation and pay it with the same check #?

    We did. We printed the payroll and journal vouchers first with the information to compare to after voiding and purging. First you go into bank accounts and void and purge the individual checks number or range of check numbers. You can then go to the calculation batch and delete it (or them if more than one. Then you go to the timesheet batch information and make sure everything is correct. The run the calculation and see if it is the same or different. If it is what you want then go to bank accounts and print it on blank paper using the check numbers you purged. We have done it more than once and it works for us.
