    Campaigns, Funds & Appeals HELP!

    Ok all, help me out here. I need to clean up and set up some campaigns funds and appeals.

    We are in our Centennial Year and have a "project" called The Centennial.

    We have received a donation of in-kind corporate support for this project. This contribution was solicited by the ED.

    My thought would be to create a campaign of Centennial, fund = general support and appeal would be the ED.

    Development wants to apply the monies to Campaign = Annual Fund, fund = Centennial and appeal would be..solicitation.

    Now, using either one of those theories, let's follow this further. We have changing exhibitions (3 per year) that we garner corporate support for. This support is solicited by either Development or the ED, sometimes combined efforts.

    The Treasurer of our Board has charged me with reporting results to him monthly on contributions. He wants to know direct results of the development office. Also how much was raised for each "project" (Centennial, Exhibition, Annual Dinner, etc)

    So, how would I flow these thru this system?

    We currently have a "fund" for "sponsorships" but if I create a campaign for every exhibition, the list will grow and grow. I'm not sure how to proceed here.

    Becky, It sounds to me like your special projects (Centennial, exhibitions) might work well as appeals rather than campaigns or funds. Have you checked out the information in the User's Guide re. setting up campaigns, funds, and appeals? I think there are several discussions in the forum archives, too, with specific examples. Just to give you an idea, we are running a capital campaign right now -- gifts are entered in the campaign -- Capital Campaign 02 (when it started); fund -- Cap. Campaign 02 Unrestricted or Restricted; appeals -- board fund, employee fund, physician fund, etc. It works well for running reports on how each facet of the campaign is going, and we can also get an overall picture with campaign progress reports.     We have only 4 campaigns - Annual Campaign, Capital Campaign, Planned Giving Campaign, and Public Policy Campaign Our Funds tell us exactly where accounting should put the money - General Operating Support, Education, Hartford Clinic, etc. Our Appeals tell us how did we ask (not who asked) - Personal Solicitation, Direct Mail, Newsletter, Annual Celebration Event Invitation, etc. We also use solicitor to tell us who specifically did the ask (used most frequently with the appeal of Personal Solicitation) My suggestions (just one woman's opinion) 1) I would create an appeal for each exhibit and have solicitors for people who do personal asks. You can create an appeal category of Exhibits to group them all together in queries if you need to. For us appeal category is required because we frequently use it as a grouping tool. 2) If the money is for unrestricted use I would put it into General Operating Fund - if it is restricted create a fund for that restriction if not already there. 3) It is debatable if you should put this under your Annual Campaign or under its own campaign. If it were me I would just keep it under your Annual Campaign - we do this for all of our events. Hope this helps... Melissa S.
