    RE7 Grouping Fund IDs for reporting

    We have over six hundred named restricted funds. We need to be able to quickly filter on these funds by school / department, fund purpose, and nature of restriction. As canned existing reports do not allow for filtering of fund attributes (only can use gift or constituent attributes), how do others prepare reports for users? To be specific, if one were asked: "Please provide a report on all scholarships for the School of Business." How do others handle this? We are reviewing our fund ID naming conventions; however, we have not reached a final conclusion.

    We have over 500 fund projects. If you add the school/department as an attribute, maybe you could use a query to find the information. Here's some info about our setup: We designed our system such that we use fund projects with a certain structure (ex: 00300-R00000), activity projects (ex: 00000-F00410) and combination projects (ex: 00300-F00410). Fund projects receive revenues and the letter in the fund project ID indicates the fund type (U=unrestricted, R=restricted, Q=quasi-endowment, E=endowment). For activity projects, the letter in the project ID indicates the type of activity (ex: F=financial aid, A=administration, P=special academic programs). When the fund project and activity project are put together, they become a combination project. Expenditures are recorded to combination projects. Under this structure, one fund project can be associated with multiple combination projects (such as a scholarship and a special academic program) and one activity project can be associated with multiple funding sources. To find all scholarships, I would run a query by the attribute of activity project ID for any combination project that has the last portion (the activity portion) equal to 00000-F*****. This would provide me all fund projects associated with financial aid. From there, we export to Excel and then manually view the list to determine if there are any that need to be removed.

    Tracey this is David Loring, Use project attributes in The Financial Edge for this. As long as your projects and RE fund are in line with each other you should be able to run this type of report. In addition the custom management report works well.

    We used to track restrictions using funds, but it became much more complicated than needed for our purposes. We now have every transaction classified as restricted or unrestricted and every restricted transaction has to have a project code. So while we have hundreds of projects, our fund are much more managable. And we find the project reporting more helpful for our managers since they carry over from year to year.     I'm not sure I understand your question, but you have to have the Projects, Grants and Endowments Module. Then every invoice, JE, etc., has a place to indicate which project that transaction belongs to. Pat Palmer Cornerstone Church 407-892-3300 x303
