    Coding Individuals That Do Not Want To Be Solicited

    In light of the Do Not Call Registry, we are re-evaluating our coding structure with our constituents. I would like to know how people generally code people that want to receive mailing literature but DO NOT want to received solicitations. Do you create constituent codes or solicit codes? or another way??

    I would use attributes - which allows you to filter it in/out during mail process. We have an attribute called NO MAIL Reasons (some people call it Special Mail Codes), and one of the options is NO APPEALS. If they have that on their record, I exclude them from the appeal mailings.

    You could also do it via, mail types, but that get's really complicated.

    You can now also use Solicit codes (on the BIO 1 tab). Joe Meehan

    We use a combination of Solicit Codes and Attributes. Our Solicit Codes include: Do Not Solicit, Direct Mail, Personal Solicitation, Email Solicitation, Proposal, etc. We have an attribute called Mailing Preferences which includes: Do Not Send Any Mail, Send One Solicitation Per Year, Send Acknowledgements Only, No Newsletters, No Annual Report, etc. We have a separate attribute called Phone with a Yes/No field indicating whether or not we may call the donor. (Everyone starts as a yes and gets changed to NO if they ask to be removed from phone lists.) We are still evaluating if this is the best structure but it is working okay. Some people may out all of these under solicit codes but we consider Solicit Code to equal HOW, Mailing Preferences to equal WHAT and WHEN and Phone to be separate alltogether. Melissa Melissa S.
