    Cumulative query omitting certain appeals

    Hello,

     I have recently performed a cumulative gifts query for the calendar year 2009. I was using this query to send tax receipts to donors. Originally I had set my criteria to omit certain gifts with a specific appeal. The problem is that if a donor had that appeal RE wouldn't pull any of the other gifts either.

    So, my question is this: For a single donor, how do I tell RE to pull all that donors contributions excluding only those gifts with that certain appeal.

    Justin - Query is a grouping tool, not a reporting tool. Have you tried using that query in an Export? You can specify which appeal to include/exclude on the exported file.

    Tracie,

     I just tried using that query in export. I still didn't get what I wanted. Is there another way I can get this information besides doing a query? I need to be able to get the information into excel too.

    In your export, choose for your gift (I assume you are doing a summary for the year). Open the Criteria for the gift and on tab 2 choose the filters. Set Appeals to Selected and select all of the appeals except the one you do not want.

     Both query & export and inclusionary tools--they look for things that fit, not ones that don't. So if you have gifts that do not have appeals, you will either need to assign them or export out all of the gifts for the year and their appeals & sort out the appeal you don't want.

    Justin - Without knowing all the specifics of your query & database, I'm not sure why you aren't seeing the results you want in Export. I can tell you this, though. Our annual statement process is a complex crystal report -- we were not able to get the level of information we wanted on our statements simply using query & export. You may want to consider Crystal instead?

    Have you tried Annual Statement?  I've had good luck with it. Go to Reports/Financial Reports/ Annual Statement

    Select last calendar year or whatever time frame. Have choice of which gifts to be included or not ( Cash, other, Gift in Kind). Can use receipt amount instead of gift amount so non-deductibles are not included in the statement.

    Easily formatted on Format Tab. The more I use it the more I like it.

     Hi Justin,

     Are you using "Appeal not equal to Appeal A"? I've never had much luck with negatives and even though it can be tedious I've gotten better results with with "Appeal one of Appeal B, Appeal C, Appeal D, ....".

    Hi, I think one way to solve this is to create a constituent query that will summarize gifts received in 2009. The sum should be greater than 0 and should include only gift types that you consider as money received. Then, you could create a constituent export with two totals. The first total could include money received from appeal A, and the second could include money received from all other appeals excluding the appeal A. I hope this makes sense. Of course the best solution would be a custom crystal report.
