Student Billing - Posting to General Ledger

    Student Billing - Posting to General Ledger

    I have a question about posting to general ledger via student billing.

    I am unable to see the details of summarized posting. Is there a way for users to see what make up the summarized amount?

    Usually I am able to use the journal batch and line item to track the source record / transaction. I am able to use GO TO function when the transaction is shown as summarized.

    Hi Grace,

    Summarized posting is driven from the Account Code. If the account code has the Control Account box checked, then transactions for any account using that account code are summarized both on the post report and in the resulting General Ledger batch. We typically utilize this feature for account codes that represent subledger activity, such as Accounts Receivable or Tuition Receivable, because it helps to cut down on the length of the post report (and the batches created from posting to General Ledger).

    In order to see the detail for those accounts, go to General Ledger\Configuration\Account Codes. The table will show you which account codes are marked as Control Accounts. Just open the one you'd like to change and uncheck the box next to Control Account. Then the next time you post the transactions to any account using that account code will show in detail, as will the transactions in the journal batch.

    In GL/Configuration/Account Codes, my Student Accts Receivable is marked as a control account, but everything still posts in detail.  I thought you couldn't post in summary anymore in SB 7.  If you can, please let me know.

    Hi Linda,

    Either way, Financial Edge keeps the details (and therefore posts in detail). The "Control Account" function just summarizes lines on the Post Report, Batch Detail Report, the General Ledger Report, and others, as well as summarizing transactions by day when viewing detail on the Activity tab of the Account record. But the details are still there in the GL batch. Sorry if I wasn't clear about that.

    Hi Jeff,

    I can get the summary data on the batch detail report, but when I view the detail on the Activity tab of the Account record, it shows in detail.  Same for the General Ledger Report.  I even double checked to make sure that on the format tab, under detail, the "show control account in detail" box is NOT selected.  It prints in great detail anyway.  If there is somewhere else I need to check this, please let me know.  My last bookstore report was 37 pages long!!

    The detail and summary option on the General Ledger report is controlled by the two checkboxes on the Format tab, under "Details."

    The options are "show control accounts in detail" and "summarize by source transaction." Try adjusting the summarize option and see if this limits the report for you.

     If you are still seeing this in detail, you might want to make sure the account is marked as a control account in General Ledger, Configuration, Account Codes.
