Two Line Addressees for Alumni

    Two Line Addressees for Alumni

    I have been asked to research how to accomplish the following format change for our mailings.
     
    For alumni, we would like to move away from the formal combined addressee format and use the following:
     
    Change from
    Mr. and Mrs. John Smith
    12 Main Street
    Anywhere, PA  00000
     
    to a 2 line addressee for married alumni:
     
    Mrs. Mary Smith
    John Smith
    12 Main Street
    Anywhere, PA 00000
     
    where Mary is the Alumni.
     
    Is anyone currently using a two line addressee as shown above?  If so, how do you configure this to create the two lines?

    Okay, don't know where the reply I typed went...

    What you want to do should be pretty easy - just not sure what post office will think.  They go from bottom up so they may deliver/forward it to John instead of Mary if they have separated.

    I'm not in RE right now, but this should do it.  You will need to reformat/create new address for the labels/envelopes or what type of piece you are using for your mailing. You will need to change addressee type of "Mr & Mrs John Smith" to "Mrs Mary Smith."  (If you don't have these addressee types already on your records you will need to add - can be done globally.)  This would be the first line in your new address format.  For the second line, you will need to select "spouse name."  You can pull this field from "spouse" selections.  Put this field in as your second line.  Then continue as usual with selecting address info.

    Thanks for the info JoAnn.  My only question for you is that I don't think spouse name is a field that you can choose for receipts and letters.  I only found it under envelopes and labels.

     After I posted my original message, I tried creating a new configuration addressee that consisted as follows:

    Title, first name, middle name, last name, suffix, HARD BREAK,  spouse title, spouse first name, spouse middle name, spouse last name, spouse suffix.

    I tried using this in mail merge and it worked as I had hoped (put names on separate lines), but only for envelopes and labels.  For receipts and letters, it put both names on the 1st line.   Do Hard breaks only work for envelopes and labels?
