    Posting a cashier's check in A/P

    When we need a cashier's check we write the check out to the bank in A/P. Then we take it to the bank to cash it and they give us a check made out to the real vendor. The problem is that A/P shows all of these transactions under the bank as the vendor instead of the real vendor. I'm looking for ways that other people have handled this situation. Thanks

    Chuck, it is a problem in Blackbaud, but it see it as larger than the Cashier's Check [CC]. For the very few CC we have we use the actual vendor's record and use the alternate address function to have the special check payable to the bank. BUT the bigger problem [to me] is regular third party payee: CREDIT CARD purchases [such as American Express]. Here we have multiple transactions from multiple vendors payable to AmEx. HELP!!!! [we need a solution as in Quicken]

    Jim - An alternative method we have used successfully has been to create a checking account that represents the credit card. Invoices are added to the purchasing vendor record - Office Depot. We Debit Office Expense, Credit AP. Then we use the invoice Pay Now feature to show the invoice being paid by the CC bank AmEx. Debit AP, Credit CC Bank AmEx. We also have a vendor for American Express. When the statement arrives, we add an invoice to the AmEx vendor record. Debit CC bank AmEx, Credit AP. It is paid via the operating checking account. Debit AP, Credit Operating Checking. Within the CC bank AmEx bank register, the original vendor invoice paid via AmEx shows as a "check" and/or bank draft credit or reduction. The payment of the AmEx statement shows as a "deposit" and/or debit or increase. This method requires a couple of extra steps, but it is very similar to the process found in QuickBooks. The difference being, Intuit allows for the creation of a Credit Card account whereas this method requires you to treat a traditional checking account as a credit card account. The end result is the same. It allows you to maintain purchase history for the actual vendor and for all activity on your AmEx/CC account. When you receive your monthly AmEx statement, you can reconcile it against the bank register to ensure that all charges appearing on the statement are also included in your records.     Just as an aside, when I checked the "profile", I realized it said I was with Boys & GIrls Clubs of Orlando. I do not work for Boys & Girls Clubs of Orlando. They are a client of ours. I had changed profiles to look up something and forgot to change it back to Envision For Non-Profits - a BSP for Blackbaud. I hope this didn't confuse or mislead anyone. - George

    We use the alternate address method as well. Several of our staff members ask that we make the check payable to their credit card issuer for reimbursements of expenses which they have charged. We used to have the problem of not having a full vendor record for reimbursements because of making the checks out to someone else - using the alternate address keeps the payment on the vendor record and it doesn't make any difference if the person changes credit card - or more likely the bank changes name. I find this a very useful feature and would use it for cashier's checks if we ever needed them.
