We have an unhappy constituent who wants her gift from a previous fiscal year to be refunded. We want Raiser's Edge to show that the gift was made in the past but we also need to show it was given back. Is there any way besides a note to show this? Has anyone had this problem in the past? How have you handled it in Raiser's Edge? Thanks.
This is what we did when dealing with a cancellation for which we had received donations (some previous year, some current year): We opened gift record, clicked 'gift' at top to get to option to "adjust". On the adjustment record, we entered a gift sub-type of 'requested refund,' adjustment date was current date, changed gift amount to $0.00, fund remained the same, Adj GL date - entered current date. Checked the box for "Use adjustment GL post date for the reversal GL post date," and entered documentation we needed for reference. Also added notation in reference field on gift record. Gift does show as $0.00 on constituents giving history - but reference is right there with refund note.
This creates a general ledger posting now of - $XXX for your current date. We are integrated with FE, so you will need to be sure refund data matches your RE data if you are separate for your bookkeeping. Check with you business/finance people but it should get what you need as far as RE.
