We have recently done away with our member's magazine, and as a result, a number of libraries, who were members only to receive the magazine, have requested refunds of their membership gifts. Unfortunately the gifts were made in our last fiscal year. Does anyone have any insight as to what I should do in this situation -- if I delete or write off the gifts, then the FY09 total won't match up with what was reported on our 990. But there doesn't seem to be a way to put in negative gifts for FY10, as far as I can tell. Any ideas would be much appreciated. Thanks!

I would not delete or write off the gifts. I would use the adjustment option (on same gift drop down menu as write off).
We had a situation where we had to refund some gifts and this worked very well for us. For each gift, adjust gift amount to $0.00. We also created a gift sub-type (like mbrshp refund - magazine) to clearly identify the adjustments for this situation. There is an option for when you want the reversal of $ to reflect on GL. I would check with your accounting dept possibly even accountant/auditor for their recommendation. They may say FY09 and and do an amendment for 990. Or leave reversal for this year (negative gift in a sense) and note it on this years report. The adjustment provides a nice, clean documentation of all the changes and is easy to pull report on if needed.
