A/R Client Records Setup - Need Your Help!

    A/R Client Records Setup - Need Your Help!

    Background:

    We are an organization that provides services to seniors (Meals on Wheels, Adult Day Care, etc).  Most of our clients are seniors and their son/daughter is the one that actually receives the invoices and sends in the check (most of the time it is a joint account with the client anyway).

     

    Which is the better way to setup clients?

     

    Option 1 – Setup both the client and payer as separate records.  Link the son/daughter as the payer and the one that receives statements for all of the client’s charges.

     

    Option 2 – Setup only the client as a record.  Enter a billing address type on the client’s record with the son/daughter’s name and address.

     

    My concern is that we are converting to FE from another software system and I don’t want to make things more complicated than they need to be.  I am still confused on how to enter payments properly if both the client and payer are separate records.  Do you reduce the balance of the client or the payer?

     I am setting our FE Accounts Receivable up and feel very lost in the conversion process.  Every Blackbaud rep I talk to seems to have a different opinion on the correct way to do things.
