I need to query previous academic years (current students for those academic years) for specific information; e.g. zip codes. Any idea what fields I need for the query?
I'm not sure if you are looking to capture information for specific AY's (for example, for only 2004-05) or for information over a period of years. For a specific past AY, you can run a Student Query using the filter Student-> Student Progression-> Academic Year and choose the year for which you want to capture the information. Then choose the information you want in the output (for example, Address Block, or simply Zip). You can also choose to put "Current Status" in the output so you can see whether the student enrolled at that time is now a graduate, withdrew, etc.
If you're looking to capture information for a range of years, you can filter on Enrollments->Date enrolled from (greater than or equal to) AND Date Enrolled to (less than or equal to) and enter the beginning and ending dates that you want to use for your parameters. You can also capture this info for a particular graduating class by filtering on "Class Of" under Enrollments - - you would need to choose the current status you want though (graduate, current student, withdrawn, etc) because you cannot filter on Active Enrollments the way you can filter on Active Applications in Admissions Office.
I tried both of these methods and was able to capture demographic info like zip codes. Of course, if your graduate records are updated with new infomation, this will be current zip, etc.
Don't know if that helps at all - good luck!
Kristan,
Basic biographical/address fields are not linked to specific academic years (The zip code exists on the address/bio1 tab of the record but does not exist only for the 08-09 year).
It seems like you are trying to query on all students who were enrolled in a given year and output the current informaiton. To do this, you could create a query that uses student progression information as the criteria. Then, output whatever fields you need; address, zip code, phone number etc.
1. Create a new student query2. Expand <student and <Student progression3. Select Academic year and set the operator as 'Equals' the desired yearWith this criteria, only students with the progression entry for the selected year will be included. You could also narrow it down further to only include students with a specific grade level during the given year. 4. Select 'grade level' as the student progression entry and set the operator equal to the desired grade level5. Select the output tab and output any information you need
I hope this helps.
