    Designing queries for donor tracking - Best Practices?

    Hi, I'm in the process of translating a donor retention plan into RE-speak and wondering if anyone else has done something similar that they'd share their best practices. In essence it is a series of follow ups and my initial thought is to query on constiuents who have performed a certain action to draw them into the series. so it would look a little like this:

    1. initial action - query to send letter

    2.  query to follow up on sent letter

    3. query on those who responded to letter

    etc

     Your insights are most appreciated.

    I'm assuming that your letters are solicitations? If that was the case I would suggest the following:

    1) Initial Query - use to code Appeal and Package that is unique that designates them as Renewals to whichever solicitation project you're sending (direct Mail Spring, Fall, Annual mailing, Major Gifts mailing, etc.) You can use the query in either admin to globally add the constituent appeal & package or in one of the mail function segments to code the appeal and package.

    2) The Reply device for your solicitation should have the Appeal, Package Constituent ID, name address panel etc. on it so that when the gift entry is easy and ties back to your constituent appeal

    3) The next portion of your plan is to what? I would suggest a second mailing (depending on what it is) to the NON -responders.

     If I'm not following your line of questioning, then I think you may want to look at Moves Management and using action tracks. I would also take a look at the Client Documents portion of the site to see if there are some good examples.
