Using Actions to Automate Checklist Items? How's that working for you?

    Using Actions to Automate Checklist Items? How's that working for you?

    We are using EE7 (Admissions) in a rather unique way - as a marketing funnel. Each of our admissions people track the status of applicants by viewing Pendings in Dashboard.

    I've been told that Actions are amazing for automating and making our process more efficient, but have yet to prove that. Anyone using Actions? For what purpose? Would you be willing to share your checklist?

    Action Tracks is one of those items that I always think I will get to in the "down time" -  - and haven't done it yet.
    I too would love to hear from any school that is using them - for any process - from admissions to enrollment to billing.

    We use actions for many admissions procedures. We create actions that are loaded with our applicant defaults and tied to a checklist item so that when the action is completed, it completes the checklist item as well. For example, we create an action for an applicant asssessment, a parent interview, a parent tour, etc. For transfer applcants, we also create an action for a shadow day. We generate confirmation letters off the action and mark the status of the action "reserved" until it is complete. We then change the status to either complete or atteneded and check "Action Complete" with the date. The checklist item is then marked complete and it is a good way to check to see which active applicants have not completed the process. We have not tried putting Pendings on our dashboard though...sounds interesting!

    I'm really interested in learning how this works for you in greater detail. I like that you use 'reserved' until it is complete. Our problem is that we are trying to use it as a CRM tool, in that, we like to see the status of the action in greater detail. For example, if the action is 'Follow Up Call', we'd like to note the result and number of the call. After 3 calls we move to Fall Out (non-responsive but not a dead lead). We'd also like to document conversations or messages in the action and be able to see that in a report form, so that when the call has to be made again, we know the previous results before calling or having to open the record.
