    setting up a capital campaign

    Does anyone have any ideas on how to set up a Capital Campaign?   I am new to this project and have no idea where to begin.  We need some policies and procedures on how to handle gifts, prospective donors, etc...

    Seems like a big question. Smile  Not sure exactly what details you are looking for.

    Here's what we've done.  Set up campaign, funds, appeals in RE.    This has varied from campaign to campaign depending on how it's structured.  Finance office plugs in all applicable GL #s. Solicitors are entered for fund. 

    We have an established database for donors and prospective donors.  We add any new prospects to RE. 

    We use pledge cards for each donor/prospective donor.  These are printed from an RE export.  Pledge card goes to assigned solicitor - this is recorded in RE.  We do not use goal in RE but rather have an ask amount given to solicitor in information that is specific to the prospective donor.  As pledge cards are turned in, I enter pledge/installment schedule etc in RE.  We send a thank you for your pledge/pledge and payment letter using the Mail function.

    Per what we've set up as proecedures with our auditors, our exec records gifts received on a log (not really necessary, but helps him keep handle on activity), payments go to finance for deposit, copy of deposit and payments comes to me for entry in RE.  I record payments applying them toward pledges.  We offer options for payment by EFT/bank draft/credit card etc.  Also process matching gifts, stock and other gifts as approved by board of director policy for gifts.

    In RE reports, we can pull list for each solicitor and their progress.  And the usual ones like cash receipts, pledge listings... 

    I print receipts for all gifts received and billing reminders for donors with pledge payments coming due.

    I work with a small mission Diocese and we are in the process now in setting up our Capital Campaign, and I am looking at different options as well.  I am in the Developlement office and i manage the data and the reporting etc.. 

    Our current annual campaign is set up using Campaigns, Funds and Appeals.  This allows us to add a Campaign with the funds that represent all the parishes and the appeals will be to track specific gifts.  Our constituents give to a fund, a parish and we generate reports based on that criteria.  The process serves the purpose of tracking gifts and funds. 

    We don't use solicitors, but if there is a great way to incorporate this i would like to know.

    i realize this comes later rather than earlier but maybe this will help.

    We are in the processof setting up the capital campaign but we only want to have certain people that can view this information. Is there a way in security where we can only give access to a group of people to this campaign. please advise thanks

    Under the security by fund, you limit who can view certain funds.
