I am in the process if scanning all of our pre-EE graduate and withdrawn student documents. So far, all I think I need to keep for each student (high school and middle school) is a report card for MS and SAT/ACT scores and a final transcript for HS students. Does anyone know of any regulations or best practices on this. I do keep a pdf of all transcripts and report cards for the years since we switched over to EE.
Depending on how clean your pre-EE data is, it might be worth keeping a document that summarizes a student's relationship with your school over time. In our case, the only reason I knew a student came to Kindergarten here 10 years ago (very pre-EE) is that there was a school picture on the sheet that had a yearly photo. No report card, no application, no tuition bills ... just the yearly photo.

We have developed a list for scanning historical records based on recommendations from NAIS, the State of Ohio and our legal counsel. We keep major conduct letters (letter of expulsion and out of school suspension), Admit letters and application, and withdrawal letters from parents. We keep standardized testing scores, final report cards from each year, transcript for Upper School students, immunization summary, MFE/504/Psych profiles and unusual documentation relating to a former student's graduation/completion status.
