    Printing one label/family and include all children on one label

    Am I the only one who wants to be able to run one label per family (including the students' names) in the Mail Module? I have requested this be changed for 5 years and still nothing gets updated. If we have 4 children from the same family, using the mail module we have to print 4 separate labels if we want to have the students name listed (as well as the parents). We usually do because it is easier for our office to stuff report cards if they know the student's names they're looking for to match up with the label. In order for me to do this I need to keep a separate database in Excel which is a real pain you know where. Anytime I change something in Records Management, I have to make the same changes in my Excel document. What does everybody else do- just print one label with just either the parents or students's name. Thanks alot. Bonnie Schmidt

    Hi Bonnie, We have the same problem. What we do is to print one label per parent out of the mail program. And we also print out a family directory from the report module. We use the family directory as a guide when stuffing envelopes to determine the kids names (and grades) that go with the parents envelope. I hope this helps you somewhat.     Can you export the data and then do a Word merge to print the names on one label?

    I have not been successful in exporting the data for two reasons. You can export the data for each student including specific relations (i.e. parent name, brother's name, sister's name, multiple times to get all combo's). Then you would have to clean up the spreadsheet....a time consuming task, removing all duplicate parent name rows (a pivot table could be used to speed this up). Also, if you have AO/RO then applicant (as well as the desired student) brother/sisters would also export....compromising your data. If your school has Raiser's Edge, the family can be exported into a spreadsheet from that database for use in a mailmerge. The only clean-up that you would have to do for that would be to globally change class of to the grade levels, and since you cannot filter on the school name for a relations record, you will need to export the school name also to determine which relation records to delete. (It's not as hard as it sounds...but if your school is large and you do many mailings this would be too timeconsuming. We use it a couple of times a year for big mailings.) Bonnie Spear

    I have desgined a crystal repot to print these labels. It works excellent. This is the process I used. Using one export and creating one main report and a sub-report you can achieve the result. 1 Create a query to pick current students 2 Create an export using this query and export the following fields : Student ID, Last Name, First Name or Nick Name, Grade Level Now, Homeroom, Address Lines, Relations.Addressee/Salutation. Relations.Addressee/Salutation should be picked with 3 separate parameters. Number of relations to export each time would be 1 and Relationship would be Father, Mother, Legal Guardian separately. Mark exclude deceased and select Living with to include 3 Create two Crystal Reports for labels using this export. One being the main and one being a sub-report 4 For both reports create a Group Header 1 with Student.Last Name and a Group Header 2 with Parent.Addressee. The first group will sort alphabetically. 5 On the main report Create your Detail A for Parent Addressee, Detail B for 1st address line, Detail C for 2nd address line etc. Your city and postal can be a formula put together into one detail section 6 Your sub report would use the same data file and have the same headers and of the same label size. The detail will contain a formula for student name and homeroom. Supress all but the detail. 7 Insert this sub report into the group footer 2 of the main report and link the two with Parent Addressee Because of the sub-report the labels will only work in one column. We print half and turn the pages around or sometimes we just use the left over labels elsewhere, but all this is worth the work needed to have the family labels.
