RE 7 Policy and Procedures

We are getting ready to go live with our database and I wanted to wrap my head around a Policy and Procedures manual that other organizations are using. Our database is probably more complicated than the norm as we will have two teams utilizing the database but in very different methods. The individual team will use the system from a purely fundraising perspective with individual donors. Our corporate team however will be working with organizations and submitting grants, etc. Does anyone else have this type of a set up and do you have a policy and procedures manual (in a word doc) that you could email me at eheffernan@aafp.org that I could tailor it to my organization? Finding a balance

We're currently embarking on a documentation project: Procedures and Policies. I'd like to know those who have carried out something similiar, how do you find the right balance of what to write? I ask this because Raisers Edge has its own help files (Tools Help) as well the PDF guides. Working under the assumption that everyone is trained on RE before they start using it, the guide we write IMO should be more procedural based? I don't want to completely re-write Blackbauds Documentation, and so would welcome the thoughts of others who have also pondered this. Request for SOP on Giving Clubs/Society

Silent Auction Thank You's

We hosted an event with a silent auction and I've been asked by the event coordinator to send thank you letters to the people who purchased the silent auction items as a courtesy. Do I just thank them and describe the item they purchased or do I list how much they paid for it? There were a couple items that sold above "fair market value" and I understand the amount above fair market value is tax deductible.

My assumption is I can list what they bought, what they paid for it, and what the tax deductible amount is (for some it will just be zero). Does anyone have a policy for this? I want to be sure to thank them appropriatly.

making inactive and deleting constituent records policy

We are establishing a policy for deleting constituent records and we'd like to know the guidelines other organizations are using.

The bulk of the records we are considering deleting are the new students we import each semester who withdraw and do not have a likelyhood of developing a relationship with the university. Another large group contains the records that have not had activity in years, don't have gifts, actions, tributes, etc.

All ideas are welcome!

Merging two foundation records

Question: If two foundations (that are constituents) are merging with a new name, what is the best way to merge their records? Should I merge both records, using new name and placing old names as alias? When gifts are merged, will I be able to see the history of who gave through which original foundation? Or, should I keep the original records and create a new one for the merged foundation, linking them as relationships? Thanks for any help you can give.

Leave-Based Donation

Does anyone have policy/procedures or can direct me to a good resource related to employer leave-based donation programs (where our employees could donate their excess Paid Time Off as a contribution to the organization)? I've located some information related to the practices the IRS put in place after 9/11 and after Hurricane Katrina, but I'm trying to determine if those are still in effect and if not what IRS policies govern this type of activity currently.

The Pension Protection Act renewed by Bush for '08 & '09

The 'economic bailout' signed by President Bush revives the Pension Protection Act (PPA). Allowing for direct gifts from IRAs to your organization, the PPA is now effective for 'qualified charitable distributions' from January 1, 2008 through December 31, 2009.

Does anyone share this information with their donors? If so, how are you updating the information. Any thoughts would be great. Thanks so much!

Records Retention Request for IRS Rulings and/or Guidelines,

I will start with an apology to those who may have read my request on Fundsvcs. I couldn't find in their archives what I was looking for. Can anyone answer my questions on this subject as to best practices, IRS rulings and/or guidelines etc? Thanks!!!!

We are in the process of evaluating departmental policy for records retention specifically in regards to donor gifts, copies, signed fund contracts, plus any additional documentation that I may not have thought of… As we are in an age of electronic copying and storage, I would also like to know if scanned documents are sufficient in some instances. Does the IRS have rulings or do they have only guidelines on records retention for non-profits? If there are sample policies available in the archives on the website, please point me in that direction for my “sleuthing”.

Gift-in-Kind

Hi, I am looking for 'opinions' on your In-Kind procedures. Mostly from Orgs that have a high volume of in-kind gifts. Do you enter EVERY single one? Do you only enter gifts of value? Value to your organization or value per the donor? Are all your in-kind gifts thanked via RE or are some hand written? Any inpout would be awesome. Thank you.

Best way to code const. & attributes for an easy retreive

As a new user charged with organizing the database there are a lot of options. We're small and have about 15 const codes and 30 attributes. We need to add more. It seems easiest to just keep adding them here. BB staff mentioned further breaking out attributes using the table feature. The problem is, you have to click on the field next to the attribute ("description") to know if there is a table for further definition. Not everyone will remember to do that. Any reason I can't just keep it simple with constituent codes and attributes?

Acknowledgement for Certain Level of Donors

We are considering not recognizing every gift based upon data entry. In January alone we had 1545 gifts and one gift processor. The amount of time taken to put in the gift and produce the acknowledgement letter may not prove good business sense. We also realize that most of our money comes from a small % of donors. Any thoughts on this? I realize many organizations use acknowledgement as their sourse of solicitation; however, this really does not seem to be the case here. Any thoughts?

Fundraising Event - tax donation?

I am in search of current tax donation guidelines regarding fundraising events. Here is the situation: We are hosting two events featuring a "famous person" on the same day. One event will serve food. One event is entertainment with the "famous person" reading a part. I believe the first event donation will be the cost of ticket minus the cost of the "meal". The second event is where we are having trouble coming up with the tax donation portion. If not for the "famous person" we would not be charging for this event. This is strictly to raise money. Any ideas of whether or not we can give full donation of the ticket price or is there an "entertainment" ticket price that needs to be deducted? BB Training on how to create a manual - worth it?

I'm taking on the job of creating a policies and procedures manual for Raisers Edge. It's a pretty daunting task and I'm considering taking the online classes offered by Blackbaud -- they cover Constituents, Configuration & Administration, Gift Records, and Reports & Queries.

It's a little pricey to take the class, so before enrolling I want to get feedback on those who have taken it before. Is it worth the price? Was it helpful? If not, where did you go for other resouces?

Any feedback that you have would be great.
