Current Students in Student Billing but not Admissions Office

My school has used Student Billing for years. However, it just started using the Admissions Office portion of Education Edge. We have current students who are in Student Billing but not Admissions Office because only the new students (who were entered this year) are in the Admissions Office section. Does anyone know how I go about getting all current students to show up in Admissions Office?

Using Actions to Automate Checklist Items? How's that working for you?

We are using EE7 (Admissions) in a rather unique way - as a marketing funnel. Each of our admissions people track the status of applicants by viewing Pendings in Dashboard.

I've been told that Actions are amazing for automating and making our process more efficient, but have yet to prove that. Anyone using Actions? For what purpose? Would you be willing to share your checklist?

Enrollment Wizard Action(s)

We are attempting at add several different health forms to our Enrollment Wizard. It seems as though one can only add ONE action to the wizard? Does anyone have any other knowledge about this? Seems you ought ot be able add more than one.

Online Admissions Interview Scheduling

We use EE, RE, and NetCommunity. Our Admissions office wants prospective students to be able to schedule their interviews online, but since their records are only in EE, not RE, we are not sure how to get this to work. According to all of the documentation we've seen, the Event Registration Form part for NetCommunity only works with RE records. Has anyone gotten this to work with EE records. If not, is there another method you can suggest for making this work?

Any guidance on this will be greatly appreciated!

Anyone using Admissions as a CRM tool? How do you accomplish recurring actions?

Say for example, in Checklist you have 'Follow-up Call,' and your rule is 3 calls and they move to Fall Out (no response from attempted contacts)... How could you automate this?

Is anyone using this software this way?

Old Prospect Records

We have just converted to Educaton Edge and have now merged with the business office. Through this process it has come to my attention that there are many applicants as well as individuals who are "old" propects in the database. How do other schools handle prospect records that are not longer viable? Right now I am deleting the Individual and Applicant one by one. Any advice?

Promotion Schedule for Grades That Do Not Promote to a Single Grade

Our Promotion Schedule works great for when all 1st graders need to be promoted to 2nd grade, for example. However, what do you do when preschoolers could go to another year of preschool or half-day kindergarten or full-day kindergarten? The promotion schedule can't handle these situations automatically, so we've been dealing with this group on a case-by-case basis. Any other solution here?

Additionally, when we handle all of these students manually in Admissions, because all of the student progression entries in Registrar's are driven by the promotion tables when you run the "mark for re-enrollment" wizard, these students don't get the appropriate student progression entry in Registrar's. (They get the correct student progression entry the first year only because the "enroll applications" wizard assigns the student progression entry based on the "grade apply" field in Admissions rather than from a promtion schedule.)

Unfortunately, the student progression entries are not available in Admissions, nor do our Admissions people really even know much about the student progression entries because they are created automatically behind the scenes by them when they run the "enroll applications" wizard. I suppose I could give them some limited rights in RO and teach them how to update there, but that seems really clunky.

Anybody have any solutions to this problem?

Where do others track an admissions referral? One of the lines on our sheet is "How did you hear about us?" 90% of the time its the name of a current parent or friend. Where do others keep this information?

Tracking Individual's Source

I am new to the Admissions Office piece of the software and was wondering how others track an individual's source or where they came from. We have an Open House, set up a booth at Pridefest, etc. and these things have not been tracked in the past. So, my first thought was to create an attribute table of "Source" and then list whatever event they came to. If anyone has any suggestions, I would appreciate them!

Marking new students for enrollment / student billing question

What is the process for marking new students so that when they appear in Financial Edge student billing, their parents receive the bill? My predecessor last year forgot to mark something in EE, which caused all the statements in FE to be generated to the students instead of to the parents. How do I avoid this?

Tracking Financial Aid

This year we would like to track all financial aid information in EE. I can track when we send out FA on the FA module. I would also like to track/date when we recevieve the following information: the PFS form from SSS and from the parents, the parents Federal Income Tax forms for both the current and past years, and their W2s, if they send them. Now we just keep the date of when we sent the PFS and when we received it from the parents...but there is no place to note if the 1040s were included. How do you handle the all letters pertaining the financialm aid? Where to do keep track of any letters sent pertaining to FA? Re-enrollment Process

We are interested in ways to streamline our re-enrollment process. In the past, the admission office has mailed the packets and entered them into Admissions Office. We would use Actions to indicate that the contracts were sent and then change the action status to indicate that a contract had been received. We also kept a paper log book. After being processed by admissions, they were forwarded to the business office for processing in Student Billing, such as adding the advance deposit. Now that we have upgraded to Education Edge, we would like to see how to improve our system and would love to hear how others handle their re-enrollment process. Converting paper trail to BB

Our school uses BB however we have not converted the entire admissions process over to BB..we still keep a paper trail i.e., log in every application by grade level on a list and log in all application requirements like test scores etc. I'd like to do away with our paper system but am wondering if other schools have slowly find they still use paper methods or have totally switched over. If you've switched over...did you go cold turkey?

Tuition Collection

Student Contracts

We want to put our student contracts on BB. We can not student bill until we have a signed contract. Tech support says that we do not have the ability to do a sales quote or contract in student billing which we could then change to a bill when the contract comes back signed. This takes place after we receive the deposit. How is everyone else doing their student contracts? I was planning on using the Admissions financial aid tab in combination with Crystal Reports. We have a tuition charge, a bus charge, financial aid rewards, scholarships awards, deposits received, special services, etc. Any feedback would be appreciated!
