We are an organization that provides services to seniors (Meals on Wheels, Adult Day Care, etc). Most of our clients are seniors and their son/daughter is the one that actually receives the invoices and sends in the check (most of the time it is a joint account with the client anyway).

Which is the better way to setup clients?

Option 1 – Setup both the client and payer as separate records. Link the son/daughter as the payer and the one that receives statements for all of the client’s charges.

Option 2 – Setup only the client as a record. Enter a billing address type on the client’s record with the son/daughter’s name and address.

My concern is that we are converting to FE from another software system and I don’t want to make things more complicated than they need to be. I am still confused on how to enter payments properly if both the client and payer are separate records. Do you reduce the balance of the client or the payer?

my name is Alice and this is the first time I post here -
my question is about 'receipt of restricted assets - cash'

Say your organization gets a restricted donation for $10000 to be spent only on a specific program. Out of that, say the donor allows your organization to retain 10% as a management fee for internal costs. Accordingly, the expenses on the restricted program can go only up to $9000, and this is the balance you want to see in the project in FE.

To give you a couple of more details, your organization a) has a series of accounts for revenue/expenses for restricted donations and one for unrestricted ones (respectively 2-yyyy restr. and 1-xxxx unrestr. account series) b) uses the project module for restricted as well as unrestricted programs c) does not use timesheets, so the allocation for salary expense is all against our main operating project (office-main) every month d) has one single checking account to deposit restricted revenue/ pay restricted expenses from (accordingly the restricted chart of accounts DOES NOT have restricted liabilities/assets accounts, those are only 1-xxxx accounts) and e) has a bunch of accounts (liability accounts) that are 'due to/from restricted-unrestricted' accounts, that are automatically engaged by the system when I handle restricted transactions when I post so that the releases from restrictions are kept clean

How would you account for that 10% in Financial Edge if you don't pay invoices/salaries out of that? I originally did what BBaud support recommended (using a 1-xxxx revenue account for the 10%, and a 2-yyyy for the remaining restricted portion) - the auditors were not pleased with that and so I had to bring the entire 100% donation under a 2-yyyy revenue account and stick that under the same restricted project. Now as you understand I have a restricted project available balance for $10000, which is NOT what I want because I need the balance available to be $9000.

Any recommendations/suggestions/questions welcome

I don't want to have to add a new comment and retype a lot of text. It would be nice if one could create a list of comments, like one can with line items, and select them from a drop down menu. Any ideas for how to accomplish this?Stephen Gabrielli

When I print the client report for the total A/R due, it is the same was what the statements show, but different than what is in the client's file if you pull up their name. I have no idea what the problem is or how to fix it, and it is really becoming a huge issue. I have told several people already that their balances are one thing, only to find out later that it shows they owe much more. Anyone else having problems with A/R balancing?????

We want to do a soft close at first and then when the auditors are done, a hard close. I am NOT a financial person. I'm the IT guru so go easy on me. I have not RTFM yet, on my to-do list and we do have some consulting time coming to us, we haven't set it up yet. I'd appreciate any pointers, things to ask myself BEFORE we start this process, tips, tricks, possible pitfalls, etc. We do use RE and do post from there into FE. We use the General Ledger module only and this is the only office that uses either Blackbaud product. The Financial Guru & I can do WHATEVER we want and kick anyone out at anytime. Or almost. ;-)

I'm going to cross post on the Blackbus forum as well so for those of us who play in both sandboxes to make you read this twice. I just need all the help I can get and I'm not as familar with this product or the names of those who use it as I am with RE.

TIA,

I am trying to figure out how to do this without having to engage BB with consulting to write our very unique invoices. The problem I'm running into seems to be that when you export invoices it doesn't allow you to export address info for the client.

Most of our AR reports show line item info, rather than invoice info. For example an aged AR report shows line items and line item i.d.s. This causes us more work, and I don't see that I have the option to change this. This is even more troubling when running statements. The statements will show what "line items" are past due, and show the line item id. A customer does not understand "Line item" and would not enter an invoice payable via line item i.d. They would reference an invoice by invoice number. If a customer receives a monthly statement showing these line item i.d.s - we get phone calls asking us what that is. They can't look in their accounting system to inquire if a certain invoice number is paid because our statements don't provide them with the invoice numbers. This is very frustrating.
