Basic Address Update Import Header

This is my standard header for updating RE addresses. The new address data (with new ImportID) is first, followed by the old address data. You will need to import phones separately (I create an import file from my current list and export it, update the ImportIDs, and import the file). If this is just an address formatting update (NCOA) then you can just "update existing records" on the import.

Process for keeping donors gift records

I wasn't sure if anyone knew for an advancement office is there a required timeline for keeping donors gifts (copy of check and and paperwork that came in with the donation). We currently store all of this stuff in a storage room which is out of room. I wondered if we could shred the older documents. I think some of our documents go back to the 80's.

Board members submitting expenses for attending meetings as Gift-In-Kind

How do you handle board memebers who want to submit their expenses for attending a board meeting as Gift-In-Kind. I think it's one thing to donate a "thing" such as a computer as a Gift-In-Kind or a billable service but this just doesn't seem right. I tried to find anything to support my opinion in the CASE Reporting Standards but can't seem to find anything addressing that in particular. Does anyone have a written policy or unwritten for that matter?

We would like to build relationships with our donors by making daily/weekly calls to thank them for their recent gift. I would like to get a list of names/addresses/phone numbers along with some Actions information that may help the caller know about the donor. I thought about creating a query based on gift date and exporting the fields mentioned above. I would like a quick way to produce the lists. Does anyone do this and would you share your procedure? Is there a report?

Importing New Address/Phone Info from Non-Blackbaud Vendor

This is what I put together to handle the import of address/phone research files from a non-Blackbaud vendor. I would appreciate any feedback anyone has. It was written as I went along with an IDC data file and has not yet been tested on another data file. This also applies really only to information on individuals and not necessarily on organizations and contacts for organizations. I've asked that our data file sent to our mailhouse include the Key Indicator so we can sort the records when they are returned.
