Paperless Direct Deposit

    Paperless Direct Deposit

    We would like to discontinue printing direct deposit advices.  It would save a lot of our time we spend folding, stuffing, and distributing Direct Deposit advices that most people don't care to have.  We would like to print them to a file and it would get routed to the employees via e-mail.  We will still have to print a few that refuse to use Direct Deposit but that will be okay.

    Does anyone out there have any suggestions for going paperless with regards to the Direct Deposit advices?

    There was a post on the AP forum a few weeks ago about EFT-O-Matic.  The product automatically sends EFT and Bank Draft notifications to vendors via email. I am not sure if this product works with Payroll, but here is a link to the post for more information:  http://forums.blackbaud.com/forums/t/9493.aspx.

    Please note EFT-O-Matic is not created or tested by Blackbaud.

     We just checked into this.  EFT-O-Matic looks like a really useful product and comes at a reasonable cost.  However we discovered that it isn't compatible with Payroll at this time.  The person I spoke with indicated they hoped to support payroll by 2nd Quarter 2009 but of course he couldn't promise that.  When they do, we anticipate purchasing EFT-O-Matic at that time.  The number of electronic payments we generate through AP doesn't justify the purchase until we can add Payroll EFT's.

    Thanks to everyone for your input. 

    After doing some research, I think I may have found a solution that will work for us.  It's called EZ-stub and it's from National Payment Corporation.  Now, we just need to figure out how to export all the appropriate payroll information out of FE Payroll so that we can upload it to the vendors' site.

     Hi Wayne,

     

    For the EZStub service, do you guys need to be able to provide email addresses with the employee record?  If so have you guys figured that one out yet?

     

    For the AutoDocMail product we found, we simply need an email address on the paystub.  The fields built into the employee records that you can selct communiation type (phone/email/etc) cannot be put onto the paystub.

    We haven't made much progress on this...understaffed and Blackbaud wasn't able to help me too much with exporting the data needed. We use FE Payroll and I was hoping that I could just select ..."Print to File" (instead of a printer) and it would generate an XML file, however, we are still trying.  We think we may have figured out a way to get the data needed so we sent EZ-Stub a test file recently and now are awaiting their response.

    My understanding is that during the initial set-up, everyone will be required to log into the site with the log-in information we give them.  Once they log in, they will have to update their login profile and at that point they can indicate how they want to be notified (cell phone text, e-mail addresses, etc.)

    Can i ask what progress you have made in getting FE Payroll to print to file?  We are looking into Ezstubs as well and I'm hesitant to proceed if Blackbaud can't produce the files.

    The latest file we sent, was closer but it still had problems.  Like I mentioned previously,  we haven't been dedicating much time to this project.  EZ-stub has been very cooperative and it's not there problem it's ours.  I'm just having a hard time exporting all the data that appears on our check stubs.

    We are going to get a little bit of our IT Dept's time and on March 4th I am going to discuss the situation with our rep. at BB to see if she can push something along.  ??

     I'll keep you posted.

     Hi Matt,

     

    Would the "Print this comment on check stubs, EFT Stubs and pay stubs for this employee:" box on the bottom of the notes tab work? I haven't ever tried entering a comment there but it seems to be a field that would show up on a deposit advice.

    Well, here's an update...

    Our IT department found and installed a Virtual Text Printer Driver from Miraplacid.  We are using it for free, on a 15-day trial basis, to see if it will work properly.  We tested the new driver by printing 8 checks and forwarded the data to EZStub and the intial feedback is good.  Now, they want a larger sample so that they can verify the consistency of the positions of all the fields.  We are going to send our complete check run on 03/13/09 as a test.  If all goes well, we will purchase the virtual printer driver for $50 and our problems will be solved... well, at least one of them. Smile

     Just curious how your 3/13/09 payroll run went with Ezstubs...were you successful?

    What are thoughts of Ezstubs so far?  easy to use?  time savings?  cost?

    Since EZStub said the data looked good, we purchased the driver. 

    We haven't uploaded our file yet.  I elected to wait until my EZStub contact returns from vacation (April 8th).  Our auditors were here when EZStub wanted to do the training session and I didn't have the time.  I did not want to rush through it. 

    For this check run (and probably several more), we printed our checks and stubs as usual.  We also printed the data to a file so that we can go through the training session next week when my contact returns. 

    Based on the data that we sent EZStub previously, they prepared our stub and it looked really good.  I made a few minor adjustments but other than that, we are ready to go.

    So far, I have been pleased with EZStub.  The only reason this is taking so long is that we haven't been able to focus on this project.

    Had a training session with EZ Stub.  We learned how to log-in and upload the files.  All went well.  Time to begin the roll-out to the employees.  April 30th will be the last time we print direct deposit advices.

     Our test file with EZstub was successful too.  We signed the papers and are just waiting to hear back from them for a date to begin setup/training.  How did your setup and training go?  Is it a fairly easy process?
