"Unrestricted" Restricted FUnds

    "Unrestricted" Restricted FUnds

    I have recently taken over the Advancement Services operation and as we near the end of our fiscal year, I am being asked for a multitude of internal and external year end reports. Per the CASE reporting standards, I see exactly what areas fall under "Restricted" Annual funds. This includes all funds going to Academic Divisions (i.e. schools, colleges). However, the V.P. has asked for reports showing the Academic Divisions funds further divided into "Unrestricted" within the Division, and "Restricted" within the Division. I have looked online and found Cornell and University of Louisiana among others support this type of giving. I was wondering if anyone here had run into this type of reporting request, and how it was handled in RE. How is this subdivision in Academic Divisions most simply handled for querying purposes? Obviously these reports will differ from those sent to CASE. Thanks for your help! Director of Advancement Services [Email Removed]

    "Unrestricted" Restricted Funds

    Initial disclaimer--Every university does things differently and I may not be understanding the question, but..... Our funds are VERY specific. If someone gives to the School of Business and it's unrestricted, we have a specific fund # for that. If they give to the School of Business and restrict it for student "field trips" within the school, there's a specific fund # for that. (Yes, we have a huge number of funds!) When a fund is set up, there's a check box to indicate whether it's restricted or not. We also use the "Fund Category" field when we create a new fund to organize our funds for our own specific reporting needs. Another idea is to use a Gift Code when entering the gift itself. The catch is, there are no "canned" reports (that I know of -- I use V6) that get us many of the detailed reports we use. We piece together what we need by creating our own queries, exports, and using info from some of the canned reports. Also note that we are NOT integrated with our Business Office. They are required to produce certain reports and we produce and analyze others from a fund-raising standpoint. --Shirley Hardin
