I work for a private school which maintains RE records for grandparents of our current students. In the past we have deleted records for grandparents upon the graduation of their granddaughter unless 1)the grandparent is also an alum or past parent; 2)has another granddaughter currently enrolled; or 3)has a gift giving history. I am curious who other private schools handle these records. Do you delete them from the database, make them inactive, or have them remain active? If active, do they remain on your mailing list for publications?

I work for an independent school which currently has records for parents and grandparents. We don't delete records, but re-code our grandparents as "Past Grandparents", but we are finding our system is a little flawed. We're actually just debating whether we'll create records for students and I'd love to chat with you about what we do with our grandparents, and what you do with your students.

Thanks for your response. I'll try to give you a call, if not tomorrow then next week. We've also had some discussion about adding current students to our database. Currently their only record is on their parents' relationship screen. I'm not sure about the advantage of doing this but my new boss thinks it's a good idea.

About our students, we kind of realized that when students graduate, we create a record for them, and if they leave before graduation, we create a record for them as well. So by creating records for all our students now, we can better track some of their accomplishments and use this when we connect with them as alums. The other benefit is that we can't currently run "grandparent class lists", meaning which students in Grade 1 have a record in Raiser's Edge and which ones don't. If we have a record for every student, we can then run a class list and export which ones have grandparents in their relationship tabs. Problem is finding the time to create all those records, and then connect them to all our grandparents!
