    Director of Advancement ServicesTeachers College- Columbia University 

    Position Title: Director of Advancement of Services

    Department: Development and External Affairs

    Reports to: Executive Director of Administration and Assistant to the Vice-President for Development

     Position Description

    The newly created position of Director of Advancement Services will be an integral member of the Development staff, working closely with other team managers and reporting to the Executive Director of Administration. The Advancement Services team will encompass database administration, reporting and information retrieval, gift processing, and biographical records maintenance. Position supervises the Director of Gifts and Records and four data entry staff. With Teachers College, Columbia University embarking on a major campaign and initiating a database conversion, the Director of Advancement Services has an essential role.

     Duties and Responsibilities
    • Serves as project lead on database conversion, coordinating internal efforts with external consultants and conversion team.
    • Supervises database administration, report programming, gift processing, and biographical records maintenance.
    • Monitors progress toward annual and capital fundraising goals; disseminates routine reports to Development staff.
    • Works with Programming staff and Development officers to develop menu of routine report formats that serve the needs of Development.
    • Works with the Executive Director of Administration to develop an annual and long term operational plan for the use of the database as a strategic tool for the Development Office.
    • Works with the Executive Director of Administration and Finance office on gift and pledge reconciliation and reporting, particularly at fiscal year end.  Provides data and documentation needed for annual audit.
    • Serves as liaison with Information Technology staff on infrastructure and hardware issues to ensure good technical performance of the database system.
    • Develops policy and procedure statements to define how the system will be used to support fundraising operations.
    • Designs and oversees ongoing staff training program in database and gift administration policies and procedures.
    • Creates documentation for all gift, pledge, and biographical data entry procedures.
     Qualifications

    The ideal candidate will be self-motivated, reliable, and flexible.

    Additional qualifications include:

    • 3-5 years of progressively responsible experience in advancement services, with experience in a higher education setting preferred.
    • Demonstrated ability to manage complex support systems.
    • Familiarity and understanding of IRS regulations regarding tax issues and CASE standards for reporting a must.
    • Supervisory experience with both professional and support staff positions.
    • Technical experience with relational databases and reporting tools. Familiarity with SunGard SCT Banner Advancement and Blackbaud Raisers Edge a plus.
    • Proficiency in the use of Microsoft Office software applications
    • Excellent communication skills, including the ability to translate fundraisers’ needs into technical output.
    • Strong analytic and organizational skills; ability to manage projects and workflow, using time and resources effectively.
    • Respect for donor confidentiality and privacy.
