Hello,
Currently, our organization is tracking various phone types such as "Home", "Business", "Cell Phone", etc. However, a number of our staff have expressed a concern over knowing which phone number is the one the constituent prefers to be called at, sort of like the "Preferred Address" check-mark box on the Address Record. Has anyone else come across this limitation in RE? How does your organization handle this circumstance? I appreciate any insight your might be able to offer into this area! Thanks!!!
Travis
Don't know that this would work, but how about making the preferred number, the first number listed in the record? Then if you export the information and only bring over one number, I think it will give you the first listed.
If they do not want to be called at the other numbers you can mark them DNC. Otherwise for very special requests we would use a popup annotation (but that does not help when pulling lists).
We have the same problem. Our volunteers provide many different phone types and for each one we need to know:
To combat this we have limited the type of phone types to five basic types (these will always show in our reports) other types can be added but will not show in reports.
We use a crystal report to display this information with the relevant phone type. Most staff use this report when looking someone up because they can see the information easily, but they do know where to look in RE for this.
Messy but it works.
Our phone types match the address type (business phone always go on business address, e-mail at home "phone" goes on the home address" etc. The assumption is whatever address is preferred, the phone that goes with it is the preferred one. Now, between two types on the same address - home versus cell for instance, that is a tad more tricky.
