    Job Description: The University of California, Berkeley is the preeminent public university in the country. The College of Engineering is among the top three engineering schools in the United States, and is the second largest college at UC Berkeley. Reporting to the Donor Stewardship Manager, the Donor Stewardship Associate will maintain gift and biographical information for the College of Engineering’s College Relations database. He/she will be a key player in administering private gifts for the College and updating the College’s alumni and donor database (Raiser’s Edge). The College of Engineering has over 60,000 constituent records and processes over 5,800 gifts annually.

    Responsibilities: Gift Administration (*60%) -Process and record gifts made to the College of Engineering, including Annual Fund direct mail, telemarketing, online, major gifts, corporate matching gifts, and corporate research gifts

    -Update biographical information -Acknowledge all unrestricted gifts appropriately and mail in a timely fashion

    -Review gift documentation and research missing information -Clarify ambiguities in charitable intent

    -Take initiative to resolve questions via appropriate sources, communicating frequently with the campus gift coordinators, third parties and donors

    -Monitor all matching gifts; remind donors about potential matches, personally follow up with donors with potential matches, and track companies that match gifts

    -Receive training and follow procedures for entering gift records in the campus database (CADS) and College database (Raiser’s Edge)

     

    Reporting and Verification (*25%)

    -Assist in reconciling monthly College of Engineering records with campus gift reports on Regents and UCB Foundation funds

    -Research inconsistencies and make adjustments to Raiser’s Edge database or request adjustments to CADS as necessary

    -Request copies of College gifts not appearing on Raiser’s Edge for entry and acknowledgement

    -On a daily basis, update the fundraising team in the College about recent gifts

    -Inform, on a weekly basis, the Development Operations team about backlog of gifts

     

    Supervision of Donor Stewardship Work-study Student (*5%)

    -Assist in the supervision of work-study students

    -Provide training to work-study students and temporary staff

    -Track on-going projects, prioritize work, provide feedback on performance

    -Help keep track of part-time work schedules and hours worked

    Special Projects (*10%)

    -Create and mail new donor packets and other donor stewardship packets

    -Work closely with Manager on assigned special projects, which may include coordinating targeted donor correspondence, preparing donor endowment fund reports, assisting with special communications efforts, database clean-up and efficiency projects, donor events, and other forms of donor stewardship

     

    Requirements & Qualifications: Required:

    -BA degree, or equivalent combination of relevant experience and education

    -Advanced knowledge and skill in the use of Microsoft Word, as well as basic experience and knowledge with databases

    -Demonstrated ability to pay close attention to detail, dedication to precision and quality, and strong organizational skills

    -Strong writing and editing skills (writing sample may be requested) -Computer skills for entering gift and biographical data with speed and accuracy

    -Ability to develop proficiency in Datatel, Raiser’s Edge, and other systems and software as necessary

    -Ability to understand and implement University gift processing policies and procedures

    -Ability to work effectively as part of a team and to meet tight deadlines when needed

    -Demonstrated record of reliability including excellent attendance

    -Demonstrated ability to maintain strict confidentiality

     
    Preferred: Experience with Raisers’ Edge development databases
