Entering gifts that come in from a Walk fundraiser...

    Entering gifts that come in from a Walk fundraiser...

    Hello, we have had Raiser's Edge since the middle of March 2008.  We had a huge fundraiser (Twilight Walk for Wishes) on May 18th.  My question is, what is the best way to capture and link Team Captains with the Team Walkers and the money/pledges that were raised by the Team Walkers?  I want to be able to link all money to the respective Team Walker and the Team Captain.  If any of you have experienced entering this three-person connection, I would appreciated hearing from you.  Thank you.

    Hi, Pat. Based on what you wrote, it may be helpful to consider the team walkers the solicitors for the donations they raised. You can then designate the appropriate team captains for each group of solicitors (team walkers). Note, only one team captain can be assigned for each solicitor team.

    The solicitors (walkers) will be listed on their corresponding gifts (in the Solicitor field), and when you report on solicitor performance, you can group the results by the team captains.

    For more info on setting up solicitors and team captains, I'd recommend reviewing Knowledgebase solution BB3402: What is a solicitor team and team captain and how to add teams and captains to the database. For reporting, consider using the Solicitor Performance Analysis Report, which will group the walkers under their team captains.

    In addition to using the solicitor as the team captain, if you have the tribute module you can create a new tribute for the walk and link them to each walker through batch.  This will allow you to see who donated to what walker by running a contributors report you can see who raised the most etc.. This combined with the solicitor report would cover off your three way connection.  If you don't have the tribute module you could enter the walker's name into the reference field (however you have to ensure you spell it exactly the same way each time or you will have to make corrections) this information can then be exported and sorted by walker.  Downside to this solution is that you only have the walker's name in the reference field.

    We use the Event module to enter gifts for our Walk for Hospice. The one problem is there has to be a pledge entered for every gift that comes in, since you have to apply sponsoring pledge to every gift. I wish we didn't have to do that - but don't see any work around.
