    Tuition Distribution for 04/05 academic year

    This is our second year using student billing. I am looking for info on how other schools set up their tuition distribution. Last year we had 3 payment plans to choose from, 1 pay due in Aug., 2 pay due in July & Nov., 10 pay due July thru April. For the 2 & 10 pay plans we set up tuition, advance dep, and all discounts to distribute according to these plans, ie 10 pay plan has all charges distribute evenly July 03 thru April 04. Using this format made the statements very hard to read and also my aging reports were not accurate. For the 04/05 year we have 1,2 and 9 payment plans. We decided to have the advance deposit and all discounts distribute in July. Tuition would then be distributed in July & Nov for the 2 pay plan and July thru March for the 9 pay plan. Blackbaud has informed me that by using these distribution will still cause my aging report to be incorrect, but will not give me a definitive answer on how to set upthe billing year.     Katrina - We have setup plans similar to yours for many of our school clients. One ting we do differently is to create an automatic feel to handle discounts such as multi-child, employees, etc. The automatic fee is the same type as say a tuition fee, the difference being we apply a negative number. When transactions are generated, this fee creates a credit on the account. As to aging, most of our clients choose not to generate all billing at the start of the year, rather they generate bills due each month. This keeps the aging current and accurate as the system looks at only current and overdue transactions, not future ones.
