We are really trying to cut down on response time ... the time a gift gets into our office and a thank-you letter goes out to the donor. Our letters typically include thank you for gift amount (and we even include the payment method in our letters). We now want to include a date that we received the check. Currently, we are going to use the reference field for a check received date and export that information into our thank-you letters. But I would like to see a field in the gift record that would handle that info. Does anyone else include this type of information in their gift records? If so, where do you put the 'donation received date'.
ALSO - I would like to see a field on the BIO 1 tab that could handle a "c/o" address. Many times you have a company or an individual and there is a reason to put a "c/o" in the address. I like to try to put the correct street address or P.O. Box in the first line of the address. If you ever need to search for a constituent by address, this would make sense. If you have a c/o in the first line, you may miss people. HOWEVER, doing it this way, when I do my thank-you letters, I have to manually flip the addresses so that they come out correctly on the letters and envelopes. Does anyone have any suggestions how I may be better able to handle this type of address?
Our gift date is the date that we recv'd the check. Then our GL post date is the date that accounting gets it.

The day the money gets DEPOSITED in the bank.

Heidi - We use the Receipt Date field to record the date we received the gift. This comes in especially handy at yearend time when we actually receive gifts on the 31st, but don't process them until after the 1st.
We use the gift date to be the date that development received the cheque and then the GL post date is when it appears on the finance system, agresso. It works well in making sure that both development and finance have everything.
