    Development Coordinator

    The Depression and Bipolar Support Alliance (DBSA) is the nation's leading patient-directed agency focusing on the most prevalent mental illnesses - depression and bipolar disorder. The organization fosters an understanding about the management of these life-threatening illnesses by providing: up-to-date, scientifically based tools and information written in language the general public can understand, support groups, training programs and advocacy.

     Development Coordinator 

    Reporting to the Vice President of Development, the Development Coordinator will be a responsible for daily, accurate management of DBSA's Raiser's Edge database which includes donors, bookstore, service and other product purchasers, conference attendees, chapter data, event registrants and other constituent records. You will process and acknowledge all donations and other receipts to precisely reflect cash, pledge, stock, electronic fund transfers, checks, credit card transactions, as well as create and develop various custom queries and reports (including Crystal Reports and Excel), design mailing lists and track statistics. You will write and produce thank you letters, renewal letters, new donor packets, welcome letters and other correspondence.

     Responsibilities:General Development Department

    ·          Maintain and encourage the integrity of the Raiser's Edge database at all times

    ·          Develop complete action plans that guide projects from beginning to end

    ·          Assist in planning and implementing donor solicitation and retention activities

    ·          Answer questions from donors regarding current or future contributions, promote benefits of donating, and respond to various information requests

    ·          Co-manage annual recognition programs

    ·          Meet challenges related to identifying, cultivating, soliciting, retaining, upgrading, and stewarding

     Database management

    ·          Update and maintain accurate and timely information on Raiser's Edge

    ·          Complete all data entry functions related to the acquisition and retention of donors, as well as all changes to the database

    ·          Input receipts to the database, including donations, bookstore purchases, program revenue, tributes and other income

    ·          Construct queries and reports

    ·          Maintain the accuracy of various lists on the database

    ·          Provide mailing lists for outreach purposes (e.g. Outreach, annual fund campaigns, special events, Annual Report)

    ·          Verify that the system is backed up on a regular basis

    ·          Keep current with Raiser's Edge educational opportunities and online resources

    ·          Monitor usage of the database and assign security levels in conjunction with the VP, Development

    ·          Keep staff informed of changes in the database or procedures

    ·          Create data entry processes as needed and document in the DBSA Raiser's Edge Procedures Manual

     Process Donations

    ·          Process receipts according to established procedures, enter information into the database, assemble and mail acquisition and retention packets and file the required information

    ·          Record donations in database and send acknowledgements within 3 business days of receipt of gift

    ·          Issue receipts to all donors who have made contributions of $250 or more according to IRS procedures

    ·          Produce various reports

    ·          Maintain accurate paper files

    ·          Fulfill requests received through written or verbal donor communication

    ·          Work closely with accounts receivable to enter batches in a timely manner and ensure accurate financial records

     Communication

    ·          Write letters, emails and other materials for donor stewardship

    ·          Respond and place calls to donors on a timely basis

    ·          Maintain the Raiser's Edge Procedures Manual

    ·          Process state applications for fundraising registrations

     Special Events

    ·          Assist with the planning and execution of fundraising special events

    ·          Maintain accurate event attendance records, lists and reports

     Volunteers

    ·          Work with the development volunteers in various capacities to promote our giving programs

     Travel

    ·          Some travel may be required such as attending annual conference or special event


    Requirements:
    The ideal candidate will possess at least 3 years of general office experience, extensive experience with Raiser's Edge database administration along with a proven track record of face-to-face meetings and telephone customer service. Good writing skills and a High School diploma with additional education or Bachelors degree required. This motivated team player will possess the knowledge of modern principles, practices and methods of fund development, as well as the following skills, attributes and abilities:

    ·          Proficient in Raiser's Edge database software

    ·          Up-to-date computer knowledge and willingness to learn additional skills

    ·          Detail oriented

    ·          Strong communication, interpersonal and problem solving skills in person and on the phone

    ·          Solid ability to independently write business letters, emails and other forms of correspondence

    ·          Ability to professionally represent DBSA at meetings and over the phone

    ·          Robust ability to balance, prioritize and complete numerous projects

    ·          Capable to work independently and well under pressure

    ·          Ability to work effectively with others in a team-oriented, fast-paced environment

    ·          Excellent organizational skills

    ·          Strong aptitude to take initiative

    ·          Positive, constructive attitude
