Tracking cultivation of (family) foundations

    Tracking cultivation of (family) foundations

    Has anyone developed guidelines for tracking actions and proposals when you are working with individuals who are individual prospects but also give through a (family) foundation? If you begin cultivation on the individual's record and then move to the foundation, do you move everything over to the foundation record (actions, proposal) or do you keep what you've done on the individual and start anew on the foundation record? How do you ensure that your aging reports accurately reflect the situation and how do you ensure that information is not missed when performing research within the database?

    We have this happen every once in awhile and it is frustrating. It would be great if actions could be copied between records that is for sure. I often will annotate the record, so there is a pop up when the record is opened to make sure I look at either the individual or foundation record for notes, etc. Plus, I make sure the individual is a relationship on the new org record. These are probably things you have thought of, but I thought I would chime in.

    If possible, we determine before we add a constituent to the prospect module whether we are approaching the individual or foundation.  There have been only a few instances where we might switch halfway through, and if so we will move everytyhing across otherwise neither record is accurate.
