I'm looking for some assistance with a query; which while it should be simple - is kicking my butt around the moon this week.
I'm am putting together a mailing list, and I need to develop a query that will output the Acknowledgee Name and Address for any deceased constituent who has received a memorial gift in the past 6 months. And I am running into troubles due to that fact that nothing in RE7 seems to directly catalog this information.
I have tried to develop this as a Gift Query, so that all records are related to the gift - however, when a deceased has multiple Acknowledgees; the results give every name and every address for every gift (which results in 3 acknowledgees having 3 different addresses because the program mixes this information).
I have also tried developing this as a Constituent Query, but in doing so it links all of the gift information to the deceased constituent! So the only results I receive are for constituents who made a gift in the given time frame, and are now deceased and have received a tribute gift.
I cannot believe that such a simple query has consumed a week of my time with no good results.
Don't know if this willl help but a short while ago I set up an envelope merge for acknowledgees on the Tribute Report. I gave them a letter type of Notificant under the Hon/Mem tab under acknowledgees. No such letter exists but now I'm able to use it as a filter so I only get one ack address in my merge. Something like that might help in an export
The output screen on query is not a reporting tool so in instances like this you will never be able to get a report the way you want it where people have multiple acknowledgees (or any one-to-many relationships).
You will need to simply do your query so you are sure it outputs the records that you need (a constituent query) then use that query in a report or export where you can truly isolate the information you want to report on.
Likewise I don't know if this will help but I set up a letter using the Honor/Memorial Acknowledgee Letter in Mail. In the 2. Fields to Include I have send one letter to each acknowledgee "by Tribute" and Number of Gifts to Consolidate is "1". I am including the Hon/Mem Acknowledgee Addressee and Salutation. For both of these field I clicked on the Options button and clicked on the From Configuration and selected the one with Mr. and Mrs. This is working for us. Instead of Merging the records you could also Export them, so this might work for you.
I think you are trying to use Query as a report as already pointed out. You can export or
1. Keep your gift query and go to RE:MAIL -> In Honor / Memorial Acknowledgement and choose "Send one leter to each acknowledgee per tribute" on tab 2. From there, export Acknowledgee information. You will have one entry per acknowledgee even if you have 50 gifts. Merge directly in Word for a list or with your mailing letters. [Edited: Don said it before me]
OR
2. Not tested in full, but here is another option if you are actually looking for a query to merge with other queries for a mailing: Do as explained in #1 but make sure you export the Acknowledgee ID. Import back your file with only the ID number in it, which will result in an Output query, as recently explained on this Board. I can't provide you with the BB knowledgebase ID because it is not available at the moment. Again, not fully tested, but this is what I would do myself.
Hope it make sense.
