Hello. So I have noticed that on a few constituents, after the pledge was set up, the first installment payment was applied to that pledge, no subsequent payments were applied. The pledge has been paid up. I know once posted, those cash payments cannot be applied to the pledge. What is a common/best practice thing to do in RE? 1) Write off the remaining pledge? or 2) Reduce the original pledge balance to the amount that was actually received/applied? Any help is greatly appreciated. Thank you.
Some of this may need to be answered by your own finance office/auditors - how do they want you to do it. It depends on how "connected" you are to the fiance office - do you have FE or do any electronic importing/exporting from RE to your finance system?
You also have the option of getting the "unpost gifts utility" from BB and unposting the gifts so you can apply them to the pledge.
You will need to think long and hard about your options. Reducing the pledge may seem awkward because nowhere will you see on their record the original pledge amount but not reducing it and writing it off means that when you run recognition reports they could possibly be recognized for the whole pledge plus all of the cash payments not applied to the pledge, thus inflating their giving.
Hello,
Just a quick note on Melissa's response. Once the gift is saved as gift type 'Cash' (as opposed to 'Pay-Cash' for pledge payments) the gift cannot be applied to a pledge even if the gift is not posted, or was un-posted using the plug-in. As silly as it sounds, the only option is to delete the gift and re-enter it, applying it to the pledge in the process. That is actually what i would recommend to maintain the integrity of your records. Writing it off suggests the donor failed to honour their pledge and adjusting it suggests the pledge shouldn't have been for that amount in the first place, although if necessary i'd prefer the latter option.

Is this new for 7.8? We are on 7.6 and it is very easy to apply a cash gift to a pledge retroactively. RE will automatically change the gift type "cash" to "pay-cash" upon saving. It happened a few time here. What I cannot do is to change a cash gift for a pledge.
I believe you can go back and apply a cash gift to a pledge (you just can not reverse it and un-apply it).
The problem is that if the gifts have been posted and I do not know how that change will go over to the Fianance Office. I do not know if you can post a gift to a pledge during an adjustment to make it appear as an adjustment to "document" the change and transfer the change to Finance. If so, I would do that.
