    GENERAL SUMMARY

    Responsible for the accurate recording of all contributions and memberships, as well as the production of appropriate acknowledgements in a timely manner. Process includes creating or updating address and other information to ensure an accurate donor database. Produce standard reports as required. ESSENTIAL JOB JUNCTIONS
    • Oversee accurate and timely daily processing of all gifts ensuring Records and Acknowledgments Assistant’s gift processing meets requirements.
    • Accurately record of all Development and Membership Department contributions, pledges, memberships, adopts, event revenues and Board dues from website, phone, mail orders and on-ground sales.
    • Update and maintain donor records in a timely manner - create new records, maintain existing, review updates provided by other staff members, and maintain the integrity and accuracy of the database through regular monitoring.
    • Prepare and process all appropriate donor acknowledgments and related collateral materials including but not limited to necessary tax receipts for all donors, and acknowledgment letters for annual donors of $75 or more.
    • Train Records & Acknowledgment Assistant on all aspects of his/her duties as well as proof his/her accuracy.
    • Ensure that all Accounting month-end deadlines are met.
    • Oversee production of membership cards and work with Membership and Development to coordinate basic benefit fulfillment for donors, utilizing volunteers as necessary.
    • Coordinate with Membership Coordinator to ensure that they have the necessary information for Membership and ADOPT benefit fulfillment.
    • Work with Gateway Pavilion and retail staff to ensure timely receipt and accuracy of on-grounds Membership, ADOPT and Development sales.
    • Document and update gift entry and acknowledgment procedures.
    • Other duties as assigned.
     KNOWLEDGE, SKILLS AND ABILITIES
    • Successful candidate likely to have 3+ yrs experience in not-for-profit or allied development department.
    • Must have comprehensive working knowledge of Raiser’s Edge.
    • Working knowledge of integrated office software systems required, Microsoft Office is preferred.
    • Knowledge of general office and accounting practices and procedures helpful. 
    • Accurate text and numeric typing required. 
    • Strong attention to detail, organizational and inter-personal skills are musts.
    EDUCATION REQUIREMENTS

    Bachelor’s degree recommended.

    Note: A comparable combination of education, experience or training that would provide the level of knowledge, skills and ability required may qualify individuals.

     ADDITIONAL REQUIREMENTSAvailable to work special events, which may occur outside of regular work schedule as assigned.
