Receipting Monthly Gifts

    Receipting Monthly Gifts

    Hello,

    I am interested in hearing from others on how you reciept monthly gifts, whether the donor recieves a reciept every month or the reciept at year end. Any suggestions for how to track this in Raisers Edge would be much appreciated.

    I'd like to know the best way to track monthly giving, while providing a reciept at year end.

    Hi Liesl,

    We have an employee giving program where employees can donate via payroll deduction.  Finance sends us a total check quarterly.  I mark those gifts with a gift subtype of "payroll deduct" and those donor are receipted in January for their total payroll deduct giving for the previous calendar year.  The letter accompanying the receipt is clear that the receipt is for payroll deduct giving only, since the donor may have given other gifts over the course of the year.  We thought it might be a big confusing when we switched to this method but I haven't had a single complaint.

    We don't receipt payroll deductions generated from our employee giving program because these donations appear on employees' T4 slips under 'Charitable Contributions' (Canada).  However, we have around 200 monthly donors through credit card and EFT/direct debit.  They are coded 'Consolidated receipts' under 'Receipt type' on the Bio2 tab.  At the end of each year we run consolidated receipts for all of these donors.  When this process is done, I run a query to search for any 'Not Receipted' gifts for the year to make sure all gifts for the year have been receipted.  We also code all monthly donors with a constituency code of 'Monthly Donor' so we can easily query on them, using the 'From' and 'To' fields to track when they start and stop monthly giving.

    We do year end receipts for payroll deductions, monthly EFT, monthly credit card payments and for a few donors who requested not receiving receipt for each monthly gift. 

    What works for me (been through only 2 year ends) is to mark these gifts as Do Not Receipt.  Usually they're separate batch so even easier.  At end of year I ran my query for gifts marked Do Not Receipt.  (I expect that all gifts are receipted for tracking.) I ran a global change to change Do Not Receipt to Not Receipted and then ran receipts from there. 

    When I send letter acknowledging pledge / payment plan I state that they will receive letter after year end.  If they want receipts for each gift they are asked to contact me.  So far, everyone is year end.

    We send a receipt at the end the year for all recurring gifts and pledges. If the gift is greater than $250, it is acknowledge immediately at the time the donation was received.

    Most of the donors, don't want you to spend extra money is postage and letters - we found that is common from our donors ....hope this helps :)

    Thanks for your help, sorry I am slow to respond for some reason I was unsuscribed to all forms and didn't recieve any notifications.

    I like the idea of consolidated receipts and will begin using this.
