Contact Address Problem

    Contact Address Problem

    I want to know if anyone has encountered a problem in the address area for org. contacts? Here's the scenario... A Foundation has two contacts each with their own separate mailing address. The address on contact number two was updated a couple of years ago to reflect the contact's request to do so. One year later, contact no. two makes a gift and we get an irate response from him because the acknowledgment went to his attention at contact no. 1's mailing address. I looked at the mailing address for contact no. 2 and it was the same as no 1. I changed it again and guess what I had a repeat performance again after contact no. 2 made his annual donation through the family foundation. He (rightly) thinks we are comletely incompetent because we can't seem to comply with a simple address correction. The only solution that I can come up with is deleting the whole constituent record and rebuilding it from scratch. I am at a loss to explain such a situation, never mind trying to explain it to the donor who is rightly upset. Anyone ever experienced this? Ideas? Margaret Whitaker

    I am confused by your record. Is this a family foundtion with two family members or is this a community fooundation with many funds esentially a pass through foundation? Either way we would have created Individual records for the contacts and then soft credited them for the gift. Then pulled the acknowledgement to the soft credit and CC the Foundation.     Contact Address Problem

    It is a family foundation with the appropriate links existing between the individual family member constituent records and the foundation constituent record. Soft credits have been issued and are in place for the gifts made through the foundation. However, the receipt/acknowledgment letter is pulling in an incorrect mailing address, which had been updated for one of the family contacts. I honestly don't know why it's pulling in the main foundation address (which also happens to be the mailing address for one of the other contacts). Margaret Whitaker Presbyterian Hospital Foundation

    O.K. in Mail on your acknowledgement letter check Tab 7 Org Address. Under Step 1 do you have Mail to Contacts checked?

    Margaret,

    What address shows for Contact #2 on the Organization record? If it is the organization's address, you can change it there by going to Relationship on the top menu, selecting Address sharing options, and then selecting the button to Stop Sharing This Address. Then repeat the Relationship on the top menu. This time select Copy/Share Address from Constituent. Enter the constituent name and select the appropriate address from the constituent record.
    If asked, be sure to select the change for this record only. Jo Ward

    The core problem seems to be that the address update that I made for contact no. 2 was not retained by the system; when I opened up his contact record the old address displayed, yet it is correct in his primary individual record.     Aha!! You solved the problem for all of us. I did a quick test. Made a test org record attached a contact and changed contacts address. You're right contact address in org doesn't change. I guess the logic behind it is that most contacts have the mail sent to org address so you wouldn't want to change that everytime a contact moved.

    I updated it again but I'm also wondering if the record has been corrupted, and if I should delete the whole constituent record and rebuild it??? I'm definitely going to contact BB customer support on this to have it placed on their files :-) Margaret Whitaker Presbyterian Hospital Foundation

    Addresses are a funky thing. Contacts who have their own record get confusing. To my knowledge these address records are not by nature linked. These people can have a primary business address on their individual record and have a separate contact address which may or may not be linked to the orgs primary address. This can lead to 3 completely different addresses if not careful. Check your links and see what is linked to what - that may help. *** I can spell, I just can't type. Where is spell check? Melissa S.     I have set up so many checks and balances on this record (should we be lucky enough to get another gift from them) just to keep it from disappearing from my radar. I did delete and relink the family foundation contacts from their personal individual constituent records with the foundation constituent record as well. They really are touchy I guess.
