    Pledges

    We are embarking on a Capital Campaign and I need help with a couple of things. How does everyone keep track of pledge payments that are monthly, quarterly, semi-yearly yearly? We accept cash, cheque, credit card and automatic withdrawal. Any suggestions?

    How do I set up reminders for myself so I remember to enter/process the pledges at all different dates and times of year?

    When you enter the pledge you set up the payment schedule the person agreed to.

    You then need to set up your own schedule (monthly) to check for pledges coming due in the next 30-60 days (or is overdue) and use the reminders in mail to send them a reminder.

    There is no way to get a popup or anything when a pledge reminder is due unless you go to the extent of creating actions for each person which I do not recommend. I recommend doing them the first day/week of the month for the following month. Melissa S. Graves

    Oh, and you also need to remember to check the "send reminders" checkbox on the pledge when you enter it or it will automatically be excluded from the reminders in Mail. Melissa S.     Pledges

    You can run the Gift Detail and Summary Report for this campaign. This report will show you the constituent name, date of the gift, fund description, gift amount, stock amount, pledge balance and total number of installments. When the pledge is completed the pledge balance goes to zero. You can export the report to EXCEL and massage the data. There is no easy way to find out who has missed a payment. Don Sabo

    Under Pledge reports - You can run the Past Due report. This is the easiest way to track your past due pledges.

    We are in the midst of a Capital Campaign and I have been tracking pledges for a while. I set up a Cash Flow report,(reports/pledge/cash flow) with this year divided by quarters and later years either in half or by full year. I run this report quarterly to see what is scedules or over due. We are still in the "quiet" phase and there are not so many pledges that this is too cumbersom. We mostly phone the donors who are due or late to get the payment in. Nina Williams
