    Fund Codes to GL

The Finance Dept at our healthcare system is in the process of implementing a new system where our month end reports information will be placed in the hospital wide Lawson system. We at the Foundation have been using a 4-alpha prefix to code/identify our funds. This will not work with Finance. Is there a way that anyone can think of that will allow us to retain our system in place but also add a numeric code that will be understood by Lawson.

For example: Fund ID = RARC-Annie Rhyne Fund. I've thought of using Fund Attributes but it's not an available option within the Reports Module. Any suggestions are eagerly welcomed! Thanks! Margaret Whitaker

Margaret - Our Finance Dept uses Lawson also. We used the Fund Attributes for their GL codes; but as you mention, then you cannot use the RE canned reports. We use custom reports & pivot tables instead. Tracie Cassidy Database Coordinator Seattle Children's Hospital Foundation (206) 987-6833 [Email Removed]

    Fund Codes to GL

I have my fund id to match the gl codes. My fund description is my alpa description, used for our internal purposes.

    Fund Codes to GL

Our fund IDs match our GL Project IDs, and our fund descriptions are the GL Project descriptions. You might want to make use of the GL Distribution tab of Funds, that is where we enter the complete GL coding string - even though we do not use BB General Ledger. I read a good suggestion in the Knowledgebase of using the Fund Category as an alternate name. You can even rename 'Fund Category' to something like 'Lawson Name' if you have config access through the 'fields' option. Fund Codes to GL

Can you tell me how you set that up in the GL Distribution TAb without having the BB GL? So far, doing a Fund Attribute seems to be the only way unless it's possible to do what you suggest, as we use the Fund ID for Foundation internal coding and The Fund Category is used to determine healthcare service line and Fund Type is used to determine endowed, temp. restricted, unrestricted, pass-through etc, and are already used. You do not need to have the Financial Edge in order to use the GL Distribution tab, although you have some more functionality if you do have FE. We are using Lawson for our GL system and have populated all of the GL funds using the GL Distribution tab. Drew J. Drew, can you share a screen shot or example of your set-up within the GL Tab. When I look at the GL tab there are many line-items, which I do understand is there for those who are integrated with FE. When you are using it without the FE GL, do you enter just the one GL code, or do you populate each and every gift type variable with the one GL code repeatedly (it's only one GL code per fund in our case). Unfortunately, this forum doesn't support screen shots, which is only part of the reason that I prefer http://www.BlackBUS.org/. Here are just a few of our entries: Gift Type[tab]Debit[tab]Credit Cash[tab]87999-10035[tab]86020-58500 Pledge Current[tab]87999-15000[tab]86020-58500 Pledge Pay Cash[tab]87999-10035[tab]87999-15000 Conditional[tab]87999-10035[tab]87999-58500 Our finance office is only booking pledges where there is a written agreement, the rest of the pledges are marked with a gift subtype of "Conditional". Payments to conditional pledges are treated as cash. You have to fill in every single gift type that you want to book. We're not using memberships, so we leave all of the membership dues blank. You also need to fill in information whenever a gift subtype is treated differently from the normal gift type, e.g., our conditional pledges and payments. Drew J. that helps a lot Drew, thanks! My other beef with Finance is the fact that they want Excel reports; i would have thought CR Reports would have been preferred; maybe I'm jut biased. Thanks again! ps I also like very much the use of Gift Subtype for conditional (unsigned verbal agreements). Margaret Whitaker Presbyterian Hospital Foundation
