    Email solicitations

    We are new to using email as a way to communicate Annual Fund goals with our donors. We are using it for both informational and solicitation purposes. I'm curious how other schools handle this. We might have 4 different emails on a constituent record, personal email for dad, work email for dad, personal email for mom, work email for mom. I don't think we want to send our email to all these email addresses? If you are using email for Annual Fund solicitations or Annual Fund updates, please share any tips you have. Thanks!!     We ask our constituents if they wish to receive email solicitation instead of postal mail. When they supply us their email, we code it on their record as a phone type of "Email Solicitation." When ready to do a solicitation, I am able to extract the "Email Solicitation" group from the mail group and simply send an email to the email group. The same is true of informational emails. Since many people have many email addresses, this method allows us to identify the correct email and associate it with the intended purpose.     When we started sending an electronic newsletter we used that as a marketting opportunity and sent an e-mail to "all home e-mail addresses" listed and requested that the constituent decide which address was their preferred address for all electronic communication. We instructed them to update their e-mail address on line. We had a greate response. Our online profile only shows and allows one e-mail address "preferred e-mail." We use this for the newsletter and solitication. Over time the constituents have become accustomed to us using only one. Other e-mail address may be sotred in RE and used by staff members for personal communication but for mass e-mails we only use prefrred. It was a little extra work but worth it.
