Just sat in on the web seminar for PaperSave to be used in conjuction with Finanical Edge. Would greatly appreciate hearting the pros & cons of using PaperSave from someone currently using the software.

We started using Papersave in March 2007. We bought two scanners for our AP staff, and I absolutely love it!! It is so easy to use and I can actually find invoices now when I'm looking for them. We've already completely emptied a 5-drawer lateral file that we will never need again, so I hope to gain some "people" space in our dept when we get ride of some of the cabinets. We will be ordering 4 more scanners July 1st when we get our new budget, and I plan to put every single financial edge entry into Papersave. The only con is when you try to email a document to someone who does not have Papersave on their PC they have to know how to convert the file to be able to view it. I highly recommend the software.

I too have been wondering about Papersave, I spoke to them over a year ago and it seemed awfully expensive for a smallish nonprofit. How many A/P pages a month are you scanning, and how much extra space does that use on the server, since that was my other concern.

Did you purchase the suggested scanner, Fujitsu 5120 scanner or another scanner?

Yes we purchased two Fujitsu 5120-c scanners. They are working great so far, of course it's only been 3 mths. They were roughly $850 each.

We are interested in it also - did you have someone from Papersave help with the training or are you using Blackbaud or another consultant?

Fortunately for us, we are located in Miami...the home of Papersave. The firm that created the software happens to be our audit firm. We have a very close relationship with them. They are right down the street, and came over for a few hours of training. It took 1/2 day to get us started. We aren't using all the features yet, so we will probably have them stop by for a few more hours of training sometime this summer. I don't know what others who are not in Miami are doing re: training. We are lucky.

So what are you all doing with all those original documents and signatures? Are you just shredding them, or do you still have to store them offsite or something?

We just purchased PS and am trying to figure it all out for the beginning of our fiscal year - 7/1. Are you using a Scan Now when processing invoices? We did not purchase the recommended scanner and find that it takes close to a minute to scan each invoice. FE will not advance until the scanner is complete. Any suggestions? Lisa - do you have a SOP you could send off list?

Our scanner will scan a one page invoice, front and back simultaneously in about 2 seconds. You can also feed in multiple pages. It's very speedy. No SOP to share, sorry.

We back-up the system every night, and shred original documents approximately once per week. We are emptying file cabinets like crazy....it's great.

Hi Lisa, I'm curious...is your dept. the only dept.utilizing document management? The reason I'm asking is, we have 4 huge copier/scanner/printer machines and our organization wants to empty all the file cabinets...to go paperless. I know we'll either have to design a system/procedures if we want to do it ourselves or pay to have it outsourced, which seems a little ridiculous since we have the 4 scanners. Actually we're interested too. We just installed PaperSave and we're in the midst of establishing our procedures, so we would be interested in how others are utilizing it (or any other paperless solution) - especially what the audit implications are since they can still be somewhat stuck on seeing originals.

Our company is thinking about purchasing papersave also and would like to have some feed back of the pros and cons of this program.

We are just trying to get the system up and running and have experienced a lot of issues.  We currently do not know if they are problems with the software, our installation, or just our understanding (training).

 I found the training that we purchased to be of little help.  We have had issues with the interface between the work flow queues and the scan first queues.  We have remote offices and want to improve the flow of documents between offices for normal accounts payable.  Excited about the possibilites we imagine but having difficulty getting it to work.

 The scan later process is very easy and we are able to scan in the paid documents to the vendors.  This part works as we imagined and it is great having all of this available for viewing/investigating variances, etc.
